Most Assigned Demographics Update

The Most Assigned Demographics Update process reads the assignment file and updates employee demographic information based on the ASOF date selection. It is very important to keep the demographic information current if you are using it for reporting purposes. This process can be run at any time. It is recommended when you first start up HR to run this process in order to load these fields on the demographics screen. It is also possible to submit this process to run automatically every night. Please call atrieveERP if you want the nightly update process turned on.

In addition to updating the demographic position, department, location and bargaining unit, this process can also update employee status and employee category if you wish. This feature is turned on by setting field Update Emp Category In Most Assigned Update (page 2) of the HR User Specific Parameters Profile to 'Y'. If you set this field to 'Y', this process will update employee's status and category based on their assignment information. (Note: Custom programming for Comox where only status is being updated).

For example, if substitutes receive a temporary assignment and their category changes from substitute to teacher, this feature would be very useful for you. When the substitute's assignment ends, the system can change their category back to substitute automatically. Additionally, if you have a special status for employees who are completely on leave, this process can automatically change their status from active to on leave and back to active as their assignments change. The assigned and non assigned status and category values are defined for each employee category in the Employee Category Code Database.

As Of Date

  • Enter a valid ASOF date in (YY)YYMMDD format for this process to use to consider the assignments from the assignment file. It is recommended that you use the current date in order to update the employee demographic fields according to the most recent assignments.

Employee Categories

  • Enter up to 10 Employee Categories. Employees with matching Category codes will be considered for reporting. If no categories are entered, all employees will be considered for reporting.

Update Position

  • Enter 'Y' to update the position field (page 2 - field: Position) on the employee demographic screen.

  • Enter 'N' if the position field is not to be updated.

Update Department

  • Enter 'Y' to update the department field (page 2 - field Department) on the employee demographic screen.

  • Enter 'N' if the department field is not to be updated.

Update Location

  • Enter 'Y' to update the location field (page 2 - field location) on the employee demographic screen.

  • Enter 'N' if the location field is not to be updated.

Update Bargaining Unit

  • Enter 'Y' to update the bargaining unit field (page 2 - field Bargaining Unit) on the Employee demographic screen.

  • Enter 'N' if the bargaining unit field is not to be updated.

Preliminary/Final Run

  • Enter 'P' to run a preliminary report showing you the updates that will take place without actually updating the requested fields.

  • Enter 'F' to run this report and update process in final mode. The final process will prepare the report and update the appropriate fields on the employee's demographics screen.

  • NOTE: If an employee has more than one current assignment, this process will update these fields based on the assignment that has the most FTE or HOURS. If both assignments have the same FTE/HRS, this process will select the first one to update the demographics information.

Employee Selection

  • Enter A to consider all employees for selection.

  • Enter S to enter selected employees individually.
