The Employee Seniority Report (1204) calculates and lists employee seniority by reading through employee assignments. The system calculates the number of full months first (usually not including summer months - June & July) and then adds on the time for the part months at the beginning and end of the assignment. For example, if an employee has an assignment from September 6th 1999 to December 9th 1999, the system would accumulate 2 months for the full months of October and November. The system would then calculate the number of days from September 6th to September 30th and add that to the number of days from December 1st to December 9th. From September 6th to September 30th there are 19 working days. This number is divided by the total number of working days for the month which is in this case 21. So, the employee is credited 19/21 (.905) of a month for September. From December 1st to December 9th there are 7 working days. Again, this number is divided by the total number of working days in the month which is 13. So, the time credited for December is 7/13 (.538) of a month. The total time is broken down as follows:
|
September 6th – September 30th |
19/21 |
0.905 |
|
October |
|
1.000 |
|
November |
|
1.000 |
|
December 1st – December 9th |
7/13 |
0.538 |
|
|
|
3.443 |
The portion of months (0.443) is then multiplied by 20 to get the number of days (20 * 0.48.86 days). So, depending on the format you select for the report, the seniority for the assignment Sept 6, 1999 to Dec 9, 1999 would be 0 years 3 months and 8.86 days OR 0.3443 years. The FTE of the assignment is also usually included in this calculation and would be multiplied by the time. If the above assignment had been 0.60 FTE then the resulting seniority would have been 2.066 months (3.443 * 0.60).
This report can also include seniority from the employee's user defined demographics screen and add it to the seniority from the assignments. You can choose to import the years, months and days.
This report will only include assignments that have an assignment type code listed in Asgn Type Codes To Include On Exper Report field of the HR User Specific Parameters Profile, or by including only those assignment type codes that have either a seniority code or '1' or '2'.
This report also utilizes the Experience Year Database to properly handle assignments that start or end during the summer. If this database is filled in, then assignments that start during the summer will have their start dates shifted to the school year start date. Assignments that end during the summer will have their end dates shifted to the school year end date. This database can apply to all schools or all schools of a particular type.
Date Range To Accumulate
-
Enter valid FROM and TO dates in (YY)YYMMDD format. The system will accumulate time from assignments within and including this date range.
Years Of Seniority
-
Enter the range for years of seniority to select employees. This range will select employees based on the number of years of seniority they have. Entering a range of 5 - 6.5 would select employees that have between 5 and 6.5 years of seniority.
Cont Hire Date Selection
-
Enter 'N' to ignore an employee's continuing hire date when selecting the employees for reporting.
-
Enter 'C' to select only continuing employees (i.e. those employees that have their continuing hire date filled in).
-
Enter 'T' to select only temporary employees (i.e. those employees that do not have their continuing hire date filled in).
Employee Categories
-
Enter up to 10 Employee Categories. Employees with matching Category codes will be considered for reporting. If no categories are entered, all employees will be considered for reporting.
Demographic Locations
-
Enter up to 10 Employee Locations. Employees with matching Demographic Location codes will be considered for reporting. If no locations are entered, all employees will be considered for reporting.
Employee Status Codes To Exclude
-
Enter up to 10 employee Status codes. Employees with matching status codes will be excluded from the report. If no status codes are entered, all employees will be considered for reporting.
Current Positions To Exclude
-
Enter up to 10 Positions. Employees that have eligible assignments with matching Positions will be excluded from reporting. If no positions are entered, all employees will be considered for reporting.
Asgn Types To Include
-
The functionality of this prompt changes depending on what was entered into the Cont Hire Date Selection Prompt.
-
If 'N' was entered in 'cont hire date selection', the following logic is applied:
This report normally only processes assignments within the date range mentioned above. The function, however, will go back in time before the date range and look for assignments with the assignment type codes entered in this prompt and include them in the seniority calculation. This will only happen if the employee's most current hire date is on or after the beginning of the date range. If no assignment type codes are entered, this logic will be omitted.
Above logic was added to pick up temporary assignments that would not be included in the imported seniority amount from the employee's user defined demographic fields.
If 'C' or 'T' was entered in 'cont hire date selection', the following logic is applied:
If any assignment type codes are entered, they will be used (instead of the codes listed in the profile or as designated by the seniority setting on each assignment type code) to select what assignments will be included in the seniority calculation. If no assignment type codes are entered, then the profile or assignment type code seniority fields will be used to select the assignments.
Demographic Departments
-
Enter up to 10 Employee Departments. Employees with matching Department codes will be considered for reporting. If no departments are entered, all employees will be considered for reporting.
