Employee Assignment Report

The Employee Assignment Report is a powerful tool used to retrieve both current and historical assignments that are on the system. This report can also be used to extract only continuing or temporary assignments (selection by assignment type). A mail merge feature has also been included to provide an easy way of extracting this data for other purposes. Information included on this report includes: employee name and number, position, start and end dates, assignment type, schedule, benefits status, works professional days, school term, department, rate, location, and assigned hours/FTE.

Start Date

  • Enter the start and end date range (YYMMDD or YYYYMMDD) of the assignment start dates to be included. Press Enter to accept the default start ranges which will select all assignments in the system.

End Date

  • Enter the start and end date range (YYMMDD or YYYYMMDD) of the assignment end dates to include. Press Enter to accept the default end ranges which will select all assignments in the system.

Timestamp

  • Enter the start/end date and time range to select assignment records based on assignment timestamp. Enter the timestamp as (YYYYMMDDHHMMSS). YYYY = Year, MM = Month, DD = Day, HH = Hour, MM = Minute, SS = Second. Each time an assignment is added to the system, a timestamp is created for that record indicating the date and time it was added. The assignment changes module also allows you to update this timestamp when a change is made.

Assigned Hrs/FTE

  • This prompt lets you select employees whose selected assigned hours/FTE is within the range you specify here. If you accept the default range (0-9999) the report will list all employees whose selected assigned hours/FTE total is between 0 and 9999.

Posting Number

  • Enter a posting number. This will report any assignments with this posting number attached. Press Enter to include all assignments.

Schedule

  • Enter a schedule code. This will report all assignments with this schedule code. Press Enter to include all assignments, regardless of schedule

Pay Id

  • Enter a payroll ID code. This will report all assignments for any position that is attached to this payroll ID code. Press Enter to include all assignments.

Benefits

  • Enter 'Y' to include only assignments marked as being eligible for benefits.

  • Enter 'N' to include only assignments marked as not eligible for benefits.

  • Enter 'B' to include all assignments whether or not they are eligible for benefits.

School Term

  • Enter 'Y' to include only assignments for employees who work during the school term.

  • Enter 'N' to include only assignments for employees who work all year round.

  • Enter 'B' to include all assignments, regardless of when they work.

Cont/Temp/Both

  • Enter 'C' to include only continuing assignments.

  • Enter 'T' to include only temporary assignments.

  • Enter 'B' to include both continuing and temporary assignments.

NOTE: The assignment type code determines whether an assignment is continuing or temporary.

Include Leaves

  • Enter 'Y' to include all leave assignments on this report along with the other assignments being reported.

  • Enter 'N' to omit leave assignments from this report.

  • Enter 'O' to include only leave assignments on this report.

  • F/P looks at the contractual FTE field on the Employee Information screen.

  • Enter 'F' to have the system pick up assignments where the employee's FTE equals the contractual FTE.

  • The system will do a comparison between the assigned and contractual leave fields. The system adds the total of the 'on-leave' assignments and compares that to the contractual FTE/Hrs field from the Employee Changes Screen. Note: The assignment type code determines whether an assignment is a leave assignment.

Sub/Lev Operator

  • Enter 'AND' to select those assignments with the specified subjects and levels.

  • Enter 'OR' if you want assignments with any of the entered subjects and levels.

Units/Hours/FTE

  • Enter 'U' to display the FTE/hours amounts in the units they were entered in.

  • Enter 'F' if you want the system to convert the units entered into FTE.

  • Enter 'H' to convert the units entered into hours.

Report Sort

  • Enter the letter representing the order to sort this report on.

Report/Merge

Summary

  • Enter 'Y' to display the grand total of the number of employees and assigned hours/FTE.

  • Enter 'N' to display all selected employees and assignments.

Inc Post

  • Enter 'Y' to include all selected postings. Postings that are unfilled, match the posting selection (if entered), whose position category matches the employee category selection, whose position matches the position selection, and whose location(s) match the location and location type selection will be displayed.

Title

  • Enter a Title for your report.
