Employee Assigned Subject Report

The Employee Assigned Subject Report will list subject and level information entered on employee assignments. Records can be selected by date, subject hours or FTE, employee category, assignment type, location type, location, position, department, subject, level and leave status. The report will display the employee's name and number, position, assignment type, location, location FTE or hours, subject start and end dates, subject, level and subject hours or FTE. The report can be sorted by employee, category, position, subject, assignment type, department, location and location type. This report also contains a mail merge option which allows you to export the reported information.

Date Selection Type

  • Enter '1' to select records by specifying an ASOF date. All subject records current as of the date specified will be considered for reporting.

Asof Date

  • Enter a valid date in (YY)YYMMDD format. Only employees with assignments that are current as of this date will be considered for reporting.

  • Enter '2' to select records by specifying a date range. All subject records that are encompassed by the specified date range will be considered for reporting.

Date Range

  • Enter valid From and To dates in (YY)YYMMDD format. Only employees with assignments that are current within and including these dates will be considered for reporting.

  • Enter '3' to select records by specifying a range of start dates, a range of end dates and a range of timestamps. All subject records that are encompassed by these date ranges will be considered for reporting.

Start Date

  • Enter valid From and To dates in (YY)YYMMDD format. Only employees with assignment start date that are within and including these dates will be considered for reporting.

End Date

  • Enter valid From and To dates in (YY)YYMMDD format. Only employees with assignment end date that are within and including these dates will be considered for reporting.

Timestamp

  • Enter valid From and To Timestamps in YYYYMMDDHHMMSS format. Only employees with assignment timestamps that are within and including these timestamps will be considered for reporting.

Subject HRS/FTE

  • Enter a range of hours or FTE. All subjects that have hours or FTE  in the specified range will be considered for reporting. The UNITS/HOURS/FTE prompt below determines whether you enter hours or FTE in these prompts.

Employees Without Subjects

  • Enter 'Y' to include employees that do not have any subjects or levels on their assignments.

  • Enter 'N' to include only those employees that have subjects or levels on their assignments.

Employee Categories

  • Enter up to 10 Employee Categories. Employees with matching Category codes will be considered for reporting. If no categories are entered, all employees will be considered for reporting.

Assignment Types

  • Enter up to 10 Assignment Types. Employees that have eligible assignments with matching types will be considered for reporting. If no assignment types are entered, all assignments will be considered for reporting.

Assigned Location Types

  • Enter up to 10 Location Types. Employees that have eligible assignments at locations with matching location types will be considered for reporting. If no location types are entered, all assignments will be considered for reporting.

Assigned Locations

  • Enter up to 10 Location Codes. Employees that have eligible assignments at matching locations will be considered for reporting. If no locations are entered, all assignments will be considered for reporting.

Assigned Positions

  • Enter up to 10 Positions. Employees that have eligible assignments with matching Positions will be considered for reporting. If no positions are entered, all assignments will be considered for reporting.

Assigned Departments

  • Enter up to 10 Departments. Employees that have eligible assignments with matching Departments will be considered for reporting. If no departments are entered, all assignments will be considered for reporting.

Subject And Level

  • Enter up to 5 subject and/or level codes.

SUB/LEV Operator

  • Enter 'OR' to select employee assignments that have any of the specified subjects and/or levels.

  • Enter 'AND' to select employee assignments that have ALL the specified subjects and/or ALL the specified levels at a single location.

Report Format

  • Enter '1' to display the report in the standard format. This format displays the employee name and number, position code, assignment type code, location name, assigned hours/FTE, subject start and end dates, subject and levels codes and subject/level hours/FTE.

  • Enter '2' to display the report in the expanded description format. This format displays the employee name, position description, assignment type description, assigned hours/FTE, subject description and level description.

Inc Leaves

  • Enter 'Y' to consider all leave assignment along with the other assignments for reporting.

  • Enter 'N' to omit all leave assignments from this report.

  • Enter 'O' to consider only the leave assignments for reporting.

Rep Sort

  • Enter 'E' to sort this report by employee.

  • Enter 'A' to sort this report by employee category and employee.

  • Enter 'P' to sort this report by position and employee.

  • Enter 'S' to sort this report by subject and employee.

  • Enter 'V' to sort this report by subject level and employee.

  • Enter 'T' to sort this report by assignment type and employee.

  • Enter 'D' to sort this report by department and employee.

  • Enter 'L' to sort this report by location and employee.

  • Enter 'X' to sort this report by location, department and employee.

  • Enter '1' to sort this report by location with no page break.

  • Enter '2' to sort this report by location type and employee.

  • Enter '3' to sort this report by employee with a page break on employee.

  • Enter '4' to sort this report by location, position and employee.

Employee Sort

  • Enter A to sort employees alphabetically by Name.

  • Enter N to sort employees numerically by Employee Number.

Units/Hours/FTE

  • Enter 'U' to display the FTE/hours amounts in the units they were entered in.

  • Enter 'F' if you want the system to convert the units entered into FTE.

  • Enter 'H' if you want the system to convert the units entered into hours.

Report/Merge

  • Enter R to prepare a report of selected employees/assignments.

  • Enter M to prepare a data file with report fields. This file can be used by other applications.

  • If you answer 'M', the following prompt must be answered.

Merge Profile

  • Enter a valid merge profile (data field separator for the report data file).

Display Subject Number

  • Enter 'Y' to display the numeric subject code.

  • Enter 'N' to display the regular subject code.

Employee Selection

  • Enter A to consider all employees for selection.

  • Enter S to enter selected employees individually.

Title

  • Enter appropriate title for the report.
