Employee Seniority Report (7101)

The Employee Seniority Report (7101) is written specifically for Bozeman School Board in Montana. It lists employees and their seniority as entered via the seniority screen plus their current years seniority which is by contract 187 days times their assigned FTE less their days without pay. Only the employees that have a current assignment with a position category of 'CERT' will have 187 days added to their seniority. The number of days without pay is calculated by reading through the payroll history file accumulating the time of the entered pay code. Because the pay code is assumed to be in hours, the accumulated time is divided by seven to determine the days. In addition to seniority, this report also displays the degree (third segment of PAYROLL salary grid description) and endorsements (majors from certificate records.

The report can be sorted by seniority or by employee. The seniority sort is defined as follows: seniority, degree, salary schedule and then the draw (all in descending order). The salary schedule is picked up from the second segment of the PAYROLL salary grid description. The draw field is user defined demographics field 11, which can be manually maintained to resolve any ambiguity where the seniority, degree and salary schedules are equal.

The report includes a 'merge' (export) option so that the exported data can be imported into other applications as needed. There is also an option to clear out the draw field. This will likely be done each new year to wipe out the previous year's draw situations. Finally, there is an option to update the employee seniority on file with the newly calculated amount. Extreme caution should be used when employing this option because it is not reversible.

Note: Only employees with a TQS category of 'T' will be selected. 

As Of Date

  • Enter a valid As Of Date in (YY)YYMMDD format. Assignments with a position category of 'CERT' will be considered for reporting only if they are current as of this date.

Seniority Days

  • Enter the range of seniority in days you want displayed on this report. Only employees having seniority between and including this range will be considered for reporting.

Employee Categories

  • Enter up to 10 employee Status codes. Employees with matching Category codes will be considered for reporting. If no categories are entered, all employees will be considered for reporting.

Employee Status Codes To Exclude

  • Enter up to 10 employee Status codes. Employees with matching status codes will be excluded from the report. If no status codes are entered, all employees will be considered for reporting.

Add Next Year's Seniority

  • Enter 'Y' to add next year's seniority to current seniority. If 'Y' is entered, the system will proceed to the next prompt.
  • Enter 'N' for not to add next year's seniority to current seniority. If 'N' is entered, the system will directly proceed to 'Report/Merge' prompt.

Payroll

  • Enter a Payroll ID to consider employees for the report. This is needed to search the leave without pay pay-code.

Leave Without Pay Paycode

  • Enter the leave without pay pay-code. All assigned time placed for this pay code in the period range specified will be excluded from the seniority total.

Pay Period Range

  • Enter the pay period range to accumulate leave without pay time to exclude from the seniority total.

Clear Demographic Draw Field

  • Enter 'Y' to clear out the draw field (User Defined Demographics Field 11).
  • Enter 'N' to leave the draw field unchanged.

Update Seniority In File

  • Enter 'Y' to update the seniority field with the newly calculated amount.
  • Enter 'N' to leave the seniority field unchanged.

Report/Merge

  • Enter R to prepare a report of selected employees/assignments.
  • Enter M to prepare a data file with report fields. This file can be used by other applications.
  • If you answer 'M', the following prompt must be answered.

Merge Profile

  • Enter a valid merge profile (data field separator for the report data file).

Report Sort

  • Enter 'S' to sort the report by seniority.
  • Enter 'E' to sort the report by employee.

Employee Sort

  • Enter A to sort employees alphabetically by Name.
  • Enter N to sort employees numerically by Employee Number.

Employee Selection

  • Enter A to consider all employees for selection.
  • Enter S to enter selected employees individually.

Report Title

  • Enter appropriate title for the report.
