Percentage Absent Summary Report

The Percentage Absent Summary Report will list the number of absences, employees, working days and percentage absent. The absences will be listed by location, category and department. This will assist you in comparing absenteeism between departments. The absent percentage is calculated by dividing the number of absent days by the product of the number of employees and number of working days. The last page of the report contains a summary by department.

Absences can be selected by date range, position category, position department, absence type, absence code, location type and location.

The number of employees working at a location is calculated from the assignment or FTE Allocation information.

If you choose to report the information from the assignments, it will accumulate assigned FTE as of the ending date range. You can choose whether to include or exclude leave assignments.
If you instruct the report to reference the FTE Allocation information to calculate the number of employees, you will be prompted for the allocation year. This option requires that the position field on each FTE Allocation code is filled in.

This report makes the connection between department and category by referencing the position code database. For this reason, it is imperative that both the category and department codes are filled in on each position. You can run the position report by selecting positions with blank categories or departments to help you fill these in.

Any incomplete positions (either having blank departments or categories) will display on the screen if you run online, or in the log file if you run this report in batch.

Date Range

  • Enter the range of dates as (YY)YYMMDD for absences that you want to report on.

Position Categories

  • Each position code has a category attached. It is this position category and not the employee's category referred to here.

  • Enter up to 10 Position Categories. Position Category matching the entered categories will be considered for  reporting. If no Position Categories are entered, all absences will be considered for reporting.

Position Departments

  • Each position code has a department attached. It is this position department and not the employee's demographic or assigned department that is referred to here.   

  • Enter up to 10 Position Departments. Position Department matching the entered departments will be considered for  reporting. If no Position Departments are entered, all absences will be considered for reporting.

Absence Types 

  • Enter the Absence type to select absences for the report. To include all absence types, leave blank and press <Enter>.

Absence Code Include/Exclude

  • Enter 'I' to include or 'E' to exclude the absence codes specified below.

Absence Codes

  • Enter up to 10 Absence Codes.  Absences matching the entered absence codes will be considered for reporting. If no absence codes are entered, all absences will be considered for reporting.

Absence Location Types

  • Enter up to 10 Location Types. Absences at locations which have matching location types will be considered for reporting. If no location types are entered, all absences will be considered for reporting.

Absence Locations

  • Enter up to 10 Locations. Absences matching the entered locations will be considered for reporting. If no locations are entered, all absences will be considered for reporting.

Employee Count Source

  • Enter 'A' to instruct this report to refer to assignment information to calculate the number of FTE employees at a location. Any assignments active as of the ending date of the date range will be included in this calculation.

  • Enter 'F' to instruct this report to refer to FTE Allocation information to calculate the number of employees per location.

Include Leave Assignments 

  • Enter 'Y' if you want to include leaves in the employee FTE count.

  • Enter 'N' to exclude leaves from the calculation.

Fte Allocation Year

  • Enter the FTE Allocation year this report should refer to.

Rep/Merge 

  • Enter 'R' to prepare the report.

  • Enter 'M' to prepare a data file with report data that can be used by other applications.

Page Break On Location 

  • Enter 'Y' to include a page break after each location.

Report Sort

  • Enter '1' to sort by location name, category and department.

  • Enter '2' to sort by location number, category and department.

Report Title

  • Enter the title for the report. This will appear on every page header of the report.
