Summary Absence/Replacement Report

The Summary Absence/Replacement Report will display the totals for absent employees, absent days, replacement employee and replacement days for each day within the selected date range. This report is useful in determining the last, average and most absences and dispatches that you encounter on a daily basis. From this information you can determine if you have enough replacement employees to cover absenteeism. You can also easily determine any obvious periods of illness or if abuse is happening on Mondays or Fridays. This report can also generate a mail merge (export) file or prepare the information in a bar graph format.

Date Range

  • Enter the range of dates as (YY)YYMMDD for absences that you want to report on.

Employee Categories

  • Enter up to 10 Employee Categories. Employees matching the entered categories will be considered for reporting. If no categories are entered, all employees will be considered for reporting.

Absence Codes 

  • Enter up to 10 Absence Codes.  Absences matching the entered absence codes will be considered for    reporting. If no absence codes are entered, all absences will be considered for reporting.

Absence Areas 

  • Enter up to 10 Area Codes. Absences at locations that have matching area with the entered areas will be considered for reporting. If no areas are entered, all absences will be considered for reporting.

Absence Location Types

  • Enter up to 10 Location Types. Absences at locations that have matching location type with the entered location types will be considered for reporting. If no location types are entered, all absences will be considered for reporting.

Absence Locations

  • Enter up to 10 Locations. Absences at locations that match the entered locations will be considered for reporting. If no locations are entered, all absences will be considered for reporting.

Rep/Merge/Graph

  • Enter 'R' to prepare the report. Enter 'M' to prepare a merge (export) data file with report data that can be used by other applications. Enter G to prepare a bar graph of reported information.

Report Sort

  • Enter one of the following code to sort the report in required order:

Employee Sort

  • Enter A to sort employees alphabetically by Name.
  • Enter N to sort employees numerically by Employee Number.

Employee Selection 

  • Enter A to consider all employees for selection.
  • Enter S to enter selected employees individually.

Report Title

  • Enter the title for the report. This will appear on every page header of the report.

Graph Format

  • This prompt allows you select what information you want the graph to display. Essentially there are four pieces of information that can be selected in various combinations. The four values are: absent employee count, absent day count, replacement employee count and replacement day count.
  • Enter '1' to display all four values.
  • Enter '2' to display absence information only.
  • Enter '3' to display replacement information only.
  • Enter '4' to display only the absence employee count.
  • Enter '5' to display only the absence day count.
  • Enter '6' to display only the replacement employee count.
  • Enter '7' to display only the replacement day count.
  • Enter '8' to display the absence and replacement employee counts.
  • Enter '9' to display the absence and replacement day counts.

Graph Scale Increment

  • This prompt determines the scale of the graph. Enter '1' to have every 'X' represent one unit, '2' to have every 'X' represent 2 units and '5' to represent 5 units.
  • If you have between 1 and 100 absences per day, a unit of 1 offers the most detail. If you have between 100 and 200 absences per day, a unit of 2 should be used. Between 200 and 500 absences per day, a unit of 5 should be used.
