Absence Consecutive Day Report

The Absence Consecutive Day Report will read through an employee's absences (based on a given date range) to determine if they have reached the specified minimum number of consecutive absence days. This report was written to satisfy requirements of BC schools districts that need to send notification to CUPE when a CUPE employee reaches the 6th consecutive day of absence for illness, WCB, ICBC, etc. However, the report can be used for reporting any types of consecutive day absences for any employee group. The report also has an update feature built in, where it can change the absence code on the selected records to a new absence code.

Date Range

  • Enter the date range as (YY)YYMMDD  to check the absences if an employee has reached the minimum number of consecutive absence days during this time period. For example if you enter 20030601 to 20030630, the program will report anyone who reached the minimum consecutive days of absence during this period. If you were to specify the entire school year, it would report anytime an employee had reached the minimum number of consecutive absence days during the year.

Minimum Consecutive Days

  • Enter the minimum number of consecutive days the employee must be absent during the date range above. Press <Enter> to accept the default of 6 days. If an employee is absent for a part of the day, then the system will count that day as well in consecutive day calculation.

Minimum Unit Type 

  • Enter 'H' to use the hours for minimum units.

  • Enter 'D' to use the days for minimum units.

Units

  • Enter a range of units that need to be reported on. The larger the range of units, the more records will display on the report. If the Unit range is left blank, report will be blank.

Employee Categories

  • Enter up to 10 Employee Categories. Employees matching the entered categories will be considered for reporting. If no categories are entered, all employees will be considered for reporting.

Demo Departments

  • Enter up to 10 Employee departments. Employees matching the entered departments will be considered for  reporting. If no departments are entered, all employees will be considered for reporting.

Demo Bargaining Units

  • Enter up to 10 Employee bargaining units. Employees matching the entered bargaining units will be  considered for reporting. If no bargaining units are entered, all employees will be considered for reporting.

Absence Positions

  • To select absences by position, enter up to 10 positions. Leave blank and press <Enter> to continue. If no positions are entered, all absences will be considered for reporting.

Absence Location Types

  • To select absences by location type, enter up to 10 location types. Leave blank and press <Enter> to continue. If no location types are entered, all absences will be considered for reporting.

Absence Locations

  • To select absences by location, enter up to 10 locations. Leave blank and press <Enter> to continue. If no locations are entered, all absences will be considered for reporting.

Absence Types  

  • To select absences by absence type, enter up to 10 types. Leave blank and press <Enter> to continue. If no absence types are entered, all absences will be considered for reporting.

Absence Codes 

  • To select absences by absence code, enter up to 10 codes. Leave blank and press <Enter> to continue. If no absence codes are entered, all absences will be considered for reporting.

Pay Id

  • Enter the payroll ID code to report on. Only employees with absences for positions with this payroll ID will be selected. If no payroll ID is entered, all absences will be considered for reporting.

  • Employee Selection 

  • Enter A to consider all employees for selection.

  • Enter S to enter selected employees individually.

Update Absence Code 

  • Enter 'N' if the absence code on all the records displayed is not to be changed by this process.

  • Enter 'Y' to update the absence codes on all the records displayed on this report to a new absence code.

New Absence Code

  • Enter an absence code. All absence records displayed in the report will be updated with this new absence code.
