EI Table - Canada Only

The EI Table module is used to identify certain statutory requirements when deducting and collecting EI contributions as well as during ROE creations.

Please refer to CRA's Employers' Guide to Payroll Deductions for the necessary information to complete the EI Tables.

Cycle Code

  • Enter a valid pay cycle code.

Effective Date   

  • Enter the effective date of the EI table. The EI table with the most recent effective date will be marked as the Current EI Table. The payroll stream uses the current EI table values so EI Tables should not be entered until needed.

When in EI Table Changes, Inquiry or Deletions, entering <CR> at this date prompt will bring up the current EI table for the pay cycle code entered. To access previous EI tables, enter the corresponding effective date for that EI table. Use look-up for a list of corresponding effective dates.

Number OF Pay Periods - Hours      

  • Enter the number of consecutive pay periods of hours to be reported on the ROE.

Number OF Pay Periods - Earnings    

  • Enter the number of consecutive pay periods of total earnings to be reported on the ROE.

Maximum Eligible      

  • Enter the maximum eligible. 7 numeric, 2 decimals.

Employee EI Factor         

  • Enter the employee's EI rate that corresponds with the effective date for this EI Table. The EI factor corresponds to the rate entered in the factor field of the EI deduction code.

Teachers ROE         

  • Enter 'N' if this pay cycle does not represent a teacher group.

  • Enter 'Y' if this pay cycle code is for a teacher's group. This setting is only used by the ROE system and does not affect the calculation of the EI deduction.

Non-Standard on ROE        

  • Enter 'N' when this pay cycle is not to be reported as non-standard on the ROE.

  • Enter 'Y' when this pay cycle is to be reported as non-standard on the ROE.  

When a pay cycle is defined with 13 periods of hours and 7 periods of earnings and marked for non-standard, the ROE will be created with the Pay Type description of MONTHLY Non-Standard.  A ROE with the pay type description of MONTHLY Non-Standard will generate a Web ROE with a Pay Type of O. Monthly Non-Standard ROE cannot have the Final Pay Ending Date be equal to the end of the month.

When a Pay Cycle is defined with 25 Periods of Hours and 13 Periods OF Earnings and marked for Non-Standard, the ROE will be created with the Pay Type Description OF Semi-Monthly Non-Standard. A ROE with the Pay Type Description of Semi-Monthly Non-Standard will Generate A Web ROE With A Pay Type of. Semi-Monthly Non-Standard ROE cannot have the final Pay Ending date be equal to the end of the month nor the 15th of the month.

Additions

Do not enter a new table until the effective date will affect your payroll. For example, if you receive the new tables in November but they do not affect payroll until January 1, enter the new tables just prior to running the January 1 payroll.

To add a new EI table to replace the present table, it is necessary to go into EI table additions. The new entries are placed into the table with the effective date. The old table then becomes an Active record and the new table the Current record. Tables are used according to the date on them as compared to the date of an EI adjustment. The Current record is always used during payroll processing. The Active record only affects prior period adjustments.

Changes

It is NOT possible to change the effective date of an EI table entry. If a date is incorrect, then the record must be deleted and re-entered.

Deletions

The deletion module allows entry of dates. This allows deletion of records which are no longer required. If <CR> is entered in the date field, it assumes you wish to delete the current record. If the date entered is not found, a message to that effect displays. If the date of the record is not known, then running EI table report will display all records with their status and effective date.

Report

The EI Table Report now reports the effective dates as well as the status of the record. There are three possible record status conditions:

  • Active - This is a record which has been replaced but is still necessary for EI adjustments.

  • Current - This is the record which is presently being used by the system during payroll processing and most EI adjustments.
