The EMPLOYEE/APPLICANT RENUMBER process changes the employee's number to any other unused number of your choice. Every file containing the old number will be modified to contain the new one.
If the applicant awarded the posted position was originally entered into the system through APPLICANT ADDITIONS, the temporary number assigned at that time must be changed to a permanent one. This module will accomplish this for you.
This process is extremely simple to use. All you have to do is enter the old employee number, then the new employee number. When the process is complete, you MUST check your log and lst files to ensure it completed properly. It is important that no one is accessing the employee on any screen within HR when this process is running. Accessing an employee you are attempting to renumber will cause some files to be skipped. If this happens, the log file will inform you and you will have to re-run the process.
IMPORTANT: Failing to notice error messages in your log file could cause serious file integrity problems within your system. If unsure about any message in your log file, contact Atrieve.
OLD EMPLOYEE NUMBER
Enter the old employee number that you want to renumber. Search to view valid employee numbers. Leave this field blank and <enter> to exit.
NEW EMPLOYEE NUMBER
Enter the new employee number. Search for valid employee numbers.
Once you have renumbered the successful applicant and given him/her a permanent employee number, modify the employee's category. This is accomplished through EMPLOYEE CHANGES. The field you should change is CATEGORY. Once you have brought the employee up on the screen, enter into the Category. The cursor will move to the category field where you can overwrite the applicant category with the employee's new one. Any other demographic information you may want to change or update can be entered at this time.
The way to attach the successful applicant to the posting he/she applied is through the Assignment system. Each assignment has a field which a posting number can be entered. By attaching successful applicants to postings through the Assignment system as opposed to each posting gives you the ability of attaching an unlimited number of employees to a single posting. This is useful where an applicant is awarded a position but, for one reason or another, decides to leave a short time later. Subsequent successful applicants could be attached to the same posting eliminating the need of creating another posting for the same position.
