The Application Additions module allows you to enter new applications into the system.
Once applicants have been entered, you can create applications for them. An application is a way of attaching a posting to an applicant (internal or external). While applicants only exist in the HR system once, each applicant can have an unlimited number of applications - one for each posting he/she applies for. Each application contains valuable information to will assist you to better determine the best qualified applicant. Before you can create applications, however, you must create Application Reason Codes.
Once you have created the necessary Application Reason Codes, you are ready to create applications. This is accomplished through Application Additions. Each application lets you record the following information: posting number, application date, application reason, available date, documents present flag, reference check date, local applicant flag, interview date, ranking, acceptance date, interviewer, application source, and miscellaneous comments.
Status
Enter the status of the application. Search to view and select from valid application status codes. This is not a mandatory field; you can leave it blank.
Application Date
Enter the date that you received the application (YYYYMMDD or YYMMDD).
Available Date
Enter the date the applicant will be available. (YYYYMMDD or YYMMDD).
Reference Check Date
Enter the date the applicant's references were checked (YYYYMMDD or YYMMDD). This field can be left blank until known.
Interview Date
Enter the date the applicant was interviewed for the job (YYYYMMDD or YYMMDD). This date can be left blank until known.
Acceptance Date
Enter the date the applicant accepted the posting.
Reason
Enter the application reason code. Search to view valid reason codes.
Documents Present
Enter 'Y' if all required documents are present.
Enter 'N' if they are not.
Local Applicant
Enter 'Y' if the applicant is local.
Enter ''N'' if he/she is not.
Student Teacher
Enter 'Y' if the applicant is a student teacher.
Enter 'N' if they are not.
Purge
Enter 'Y' if you want this application to be purged the next time you run the Employee/Applicant Purge.
Enter 'N' if you do not want this application or applicant to be purged.
Ranking
Enter a one-character ranking code. It is recommended using letters A-Z or numbers 0-9. An Application Report lets you sort all applicants for a specific posting in order of their ranking. If numbers are used, applicants with a ranking of Ø will come first, followed by those with a rank of 1, then 2 etc. If letters are used, applicants will be sorted alphabetically by rank beginning at 'A'.
Rank 2
Enter a one-character secondary rank field.
Rank 3
Enter up to a six-character third rank field.
Interviewed By
Enter the employee number of the person who interviewed the applicant. Search to view valid employees. This field can be left blank until known.
Application Source
Enter up to 30 characters of text indicating the source of the application. It could indicate where or how the applicant saw the posting.
Subject Group
Enter the subject group code that applies to this application. Search to view and select from valid subject group codes. Because this field is optional, you can leave this field blank.
Comment
Enter any miscellaneous comments that do not fit into the above fields.
Field ## To Change/Subjects/Comments
Enter the number of the field you want to change.
Enter 'S' to move to the application subject screen.
Enter 'C' to move to the application comment screen.
If you entered 's' you will see the application subject screen below:
This screen lets you enter subject and level information specific to this application.
Subject
Enter up to 10 valid subject codes. Search to view and select from valid subject codes.
Level
Enter up to 10 level codes. Search to view and select from valid level codes.
If you enter 'c' at the field to change prompt, the comment screen appears:
You can move the vertical cursor up and down with the up and down arrow keys.
You can move the horizontal cursor left and right with the left and right keys. You can also select an option from the horizontal menu bar by pressing the first letter of each option. For example, to modify the currently selected comment, simply press 'M'.
Modify
Select this option to modify the currently selected comment.
Insert
Select this option to insert a new comment.
Delete
Select this option to delete the currently selected comment.
Back
Select this option to move back to the main application screen.
If you insert or modify an existing comment, you will see the following:
This screen lets you modify an existing comment or enter a new one. You cannot change the date of an existing comment. The only way to accomplish this is the delete the comment and re-add it.
Date
Enter a valid date (YY)YYMMDD.
Comment
Enter a comment describing what happened on the specified date.
If you choose the delete option, you will see the following screen:
Are you sure you want to delete this comment?
Enter 'Y' to delete the comment, 'N' to save it.
Note: Any comment insertions, changes or deletions will not be 'saved' until you press <CR> from the field to change prompt on the main screen. If you should press <CTRL> Z or in some other way exit the application screen abnormally, the comment changes will not be preserved.
Note: After entering an application, enter any other demographic information you feel will help you in the competition process. Information on the applicant's experience can be entered into the Experience Screen (1,8) or preferred locations, location type, subject, and subject level can be entered on the Employee Preferences Screen (1,9). Connecting these or any other demographic screens to the applicant additions and application additions screens will let you go from adding an applicant into the system, to creating an application, to entering their preferences without having to re-enter the applicants number or weave in and out of the menu system. Connecting screens together is accomplished through Screen Visitation Additions.

Note: The above screen visitation information can now be superseded by creating a user defined screen with all needed fields.
