Applicant Additions

The Applicant Additions module allows you to add applicants into the system.

Once the job opening (posting) has been entered and 'posted', you will begin to receive applications. If applications are from employees, or applicants that have already been entered into the system, this step can be skipped. If the applicants do not yet exist in the system, you must enter them at this time through the Applicant Additions module.

Note: If you feel the application reports by ranking, subject, or seniority will help you determine the best qualified person for the position, OR if you want to keep a record of all people applying for postings, you must enter these applicants and their application into the system. If the employee selection will not be aided by any of the application reports, and you do not want to keep track of who applied for various postings, there is no reason to enter all applicants into the system. Steps 2-6 can be skipped and the successful applicant can be entered into the system through Employee Additions. Once the new employee has been entered into the system, you can proceed with step 7 and give the employee an assignment.

IMPORTANT: It is very possible that applicant/application entry can be streamlined immensely by creating a user defined screen with all of the employee demographic, preference and application information on it. This will prevent you from having to jump from screen to screen when entering applicant information. The user defined screen can be tailored in many cases to appear exactly as your application form. This will make your data entry much more efficient. 

Entry of external applicants is accomplished through Applicant Additions. It is the same screen you see in Employee Additions without as many mandatory fields. All applicants are assigned temporary employee number. The first 2 characters are always 'AP'. The next 8 characters make up a zero filled sequential number starting at 1 up to 99999999. Each time you enter a new applicant, the system will find the last used number and increment by one. The employee category code is also filled in automatically. The code used will be taken from the User Specific Parameters Profile field Applicant Category. This field must be filled in prior to using the Applicant Additions screen. The SIN number will default to the Dummy SIN Number in the master profile. The birth date will be picked up from the master profile Dummy Birth Date. Once you have visited each field on the first demographics screen, you can enter the applicant by pressing <CR> on the field to change prompt. The second and third screens are optional and can be accessed by using the <NEXT_SCREEN> key.
