Display Non-Repeating Schedule Option

Y - This option allows users to explicitly enter a schedule for a defined range of days. This is used when the employee’s schedule does not follow a set pattern.

Don’t Compare Hours/FTE on Schedule to Assignment if Non-Repeat

Y - The system will not compare the location units on the assignment to the units on the schedule if it is a non-repeating schedule.

Merge Type - Merge Multiple Assignments into One Schedule

There are 6 options which control if and what assignments to merge into one. They are:

  1. Same location and position

Assignments with the same location and position will be merged together

  1. Same location, position and end date

Assignments with the same location, position and end date will be merged together

  1. Same location, position, start date and end date

Assignments with the same location, position and start/end dates will be merged together

  1. Same location

Assignments with the same location

  1. Same location and end date

Assignments with the same location and end date will be merged together

  1. Same location, start date and end date

Assignments with the same location start date and end date

  1. Zero hrs/FTE per day into non-zero

Assignments with one and only one non-zero hours/FTE per day field with at least one or more zero hours/FTE per day assignment(s). All of the time on the zero hours/FTE per day assignment(s) will be merged into the one non-zero hours/FTE per day assignment

  1. Zero hrs/FTE per day into non-zero – end date

Same as above except that it will only merge assignment where the end date is also the same

  1. Zero hrs/FTE per day into non zero – start and end date

Same as above except that it will only merge assignment where the start date and end date are also the same

10. Same location, gl account and salary grid

Assignments with the same location, gl account(s) and salary grid will be merged together

11. Same location, gl account, salary grid and end date

Same as above except that it will only merge assignment where the end dates are also the same

Special rules that control whether assignments will be merged:

  1. Assignments must be associated to the same ‘merge type’ as specified above based on the screen control profile.  This profile can be set up by category, payroll id, bargaining unit, department, position code and position user defined field 01-04.  Additionally, you can set up a *DEFAULT* profile that will apply to all assignments, unless a more granular one is defined in this profile.  So, what this means is that if assignment A is deemed to have a merge type of 1 and assignment B is deemed to have a merge type of 6, they will never be merged together.  Only assignments that have the same merge type will be merged.

  2. If there is more than one schedule associated with assignments that would otherwise be merged, no merging will occur.  i.e. if you choose a merge type of 2 (same position , location and start/end dates) and there are 3 assignments with the same position, location and dates, but two of them already have schedules, none of them will be merged.

  3. Only assignments that have the same unit type will be merged.  If you have two or more assignments that would otherwise be merged, but they have different unit types i.e. say 1 is hours and 1 is FTE, they will not be merged.  However, if there are 3 assignments, two of which are hourly while the 3rd is FTE, the two hourly assignments will be merged.

  4. If you use one of the zero hours/FTE per day merge types above, assignments will only be merged if you have one and only one non-zero hours/FTE per day, and one or more zero hours/FTE per day.

Special rules that control what assignment is selected to have all of the scheduled time attached to it:

  1. The schedule will always be attached to the assignment that already has a schedule.  Because merging is disallowed if more than one schedule is found, there should only ever be one assignment that has the schedule.

  2. If none of the merged assignments have a schedule, the assignment that has the most ‘converted’ FTE will be used.  If the position is hourly, I convert it to FTE using the hours per week on the assigned position code.

  3. If you are using one of the zero hours/FTE per day merge types and none of the assignments has a schedule, the assignment that has the non-zero hours/FTE per day amount will be used.

The Location hours/FTE of all merged assignments will be added together

All of the assignments that are merged together will be presented together and will have an extra line that shows their total assigned units. This same total will be used when checking to see that the entire assigned time amount has been correctly and completely entered on the schedule.

Note about merging assignments that start/end on different dates

If you choose any of the merge types that do not check start/end dates, you will need to think about how to handle situations where one of the merged assignments ends while others continue.  Let’s say .2, .3 and .4 assignments are merged together.  The user would apply .9 FTE against the schedule for those merged assignments. If say the .4 assignment ends before the other two, there will still be .9 FTE applied to the merged schedule, when really there should only be .5.  Further, if the schedule is applied to the assignment that has ended, the other two will have no time applied against them.  So, if the user goes into ADW to enter an absence, no schedule will be found, even though they have .5 assigned FTE, that really should have a schedule.  There is nothing that will auto-generate schedule review tasks for situations like this, so the district will have to consider how to handle situations like this if they choose to merge schedules that don’t have the same start/end dates.  At the time of this writing, I cannot think of any issues that could arise by choosing the end date option which is why I added it.  I think we need to get this code out there and get a district or two using it for a while before we can completely understand the full implications of merging assignments together.  It could well be that while this concept was great in theory, but not so good in practice.

Positions to Ignore During Merge

This field allows you to ignore specific positions during the merge.  This feature may only come into play when you choose one of the two zero hours/FTE per day options above.  When you do that, even assignments with zero hours/FTE will be considered during the merge.  Normally these types of assignment are not displayed to SEW users.  Because you may want to merge zero hours/FTE assignments, this field allows you to ignore special assignments that you wouldn’t to attach to a schedule i.e. sometimes districts enter allowances and other types of unusual assignments to pay employees differently.  This new profile field will allow you to ignore such assignments during the merging process.
