The ASEBP Parameter Profile lets you activate and customize how HR and PAYROLL integrate with the Alberta ASEBP Options . ASEBP is an acronym which stands for Alberta School Employee Benefit Plan. Benefit and Dependent details are managed in Atrieve HR and can be electronically uploaded to the ASEBP Portal through a Bulk Activity Upload file created on the Web Portal.
Activate ASEBP
Enter 'Y' to activate ASEBP transaction processing within HR and Payroll or 'N' to disable the ASEBP module.
Update ASEBP Status from HR (PRM) Screens
The next 3 prompts control how the regular HR employee status field and the separate status field on the Employee/Dependent Benefit Screen are connected.
Enter 'Y' to update the employee status field in the Employee/Dependent Benefit Screen when the regular employee status field is changed in HR. this field, and THE field Update ASEBP Status from Payroll should not both be set to 'Y'. If both are set to 'Y', the ASEBP status will be updated twice (once from each source).
Enter 'N' if changes made to the regular employee status in HR are not to affect the ASEBP status.
Update Hr Status from ASEBP Screen
Enter 'Y' to update the regular HR employee status when the ASEBP status is changed from the
Employee/Dependent Benefit Screen.
Enter 'N' if changes to the ASEBP status is not to affect the HR employee status.
HR <--> ASEBP Status Codes
This field is to contain a list of HR and ASEBP status code pairs. This list serves as a translation table between HR and ASEBP status codes. Each status code pair must begin and end with a forward slash '/' and be separated by an equal sign '='.ASEBP supports only three different status codes: A for active, L for on-leave, and T for terminated. HR can support an unlimited number of customizable status codes. If for example, the HR status code database has three status codes where A is active, L is on-leave, and X is terminated, you would enter the following code list:
/A=A/L=L/X=T/
HR <--> ASEBP Term Codes
This field is to contain a list of HR and ASEBP termination code pairs. This list serves as a translation table between HR and ASEBP termination codes. Each termination code pair must begin and end with a forward slash '/' and be separated by an equal sign '='. ASEBP supports only two different status codes: G for resigned/other, and X for expired/deceased. HR can support an unlimited number of customizable termination codes. If for example, the HR termination code database has four termination codes where DEC is deceased, DIS is dismissal, RES is resignation, and RET is retired, you would enter the following code list:
/DEC=X/DIS=G/RES=G/RET=G/
Update ASEBP Group from HR (PRM) Screens
The next 3 prompts control how the HR employee category field and the separate ASEBP employee group field on the Employee/Dependent Benefit Screen (ASEBP roup) are connected.
Enter 'Y' to update the employee group in the Employee/Dependent Benefit Screen when the employee category field is changed in HR.
Enter 'N' if changes made to the employee category in HR are not to affect the ASEBP group.
Update HR Category from ASEBP Screen
Enter 'Y' to update the HR employee category when the ASEBP group is changed from the Employee/Dependent Benefit Screen.
Enter 'N' if changes to the ASEBP group is not to affect the HR employee category.
HR <--> ASEBP GROUP CODES
This field is to contain a list of HR and ASEBP category/group code pairs. This list serves as a translation table between HR category and ASEBP group codes. Each code pair must begin and end with a forward slash '/' and be separated by an equal sign '='. ASEBP supports seven different group codes: A, B, C and N for Non-Teacher, E and T for Teacher, and X for Board Members. HR can support an unlimited number of customizable category codes. If for example, the HR category code database has 3 status codes where T is teacher, N is Non-teacher, and B is board member, you would enter the following code list:
/T=T/N=N/B=X/
Update ASEBP Status from Payroll
Setting this field to 'Y' allows you to update the ASEBP status when an employee's status is changed in Payroll.
Setting this field to 'N' will not change the ASEBP status when an employee's status is changed in Payroll.
This field, and field Update ASEBP Status from HR Screens should not both be set to 'Y'. If both are set to 'Y', the ASEBP status will be updated twice (once from each source).
Participation Number
Enter your participation number as assigned from ASEBP.
Participation Name
Enter the name of your school board.
Annual Sal Pay ID/Deduction Code List
This field is to contain a list of Payroll ID and deduction code pairs. The purpose of this list of to define how the annual salary is to be determined for each payroll. Each deduction code has a list of earnings pay codes (either include or exclude). All function lines and premium amounts which are applicable according to the deduction code list are used to determine the employee's annual salary.
Each code pair must begin and end with a forward slash '/' and be separated by a hyphen '-'. If you have 2 payrolls and want to use the same deduction code (15) in both instances, you would enter the following:
/TEAC-15/NONT-15/
Default Validation State In Employee/Dependent Benefit Screen
Set the default Validation state to be On, Warn or Off. This controls if the validation messages on benefit fields act as errors (preventing you from leaving the screen), warnings (visual message only), or are not seen at all.
