Atrieve Human Resources

Assignment Screen User Defined Fields

This screen Allows users to define up to 6 different fields on the Assignment Screen.  Districts can determine what information they want to gather and display on the Assignment Screen.

Each of the 6 user-defined fields (the 6th is on page 2) require a: prompt, type, size and translation database prefix.

Prompt – Enter the prompt of the user-defined field as you want it to appear in the main employee assignment page.  Because the fonts used in AtrieveHR are true type (not fixed width), you will need to enter the prompt and then go into assignment inquiry to make sure you can see the entire prompt.  If not, you will want to shorten the prompt.

Type – Enter/choose the data type: 1-5.  Below is a screen shot showing the 5 different types you can choose from.  If you enter/choose 5 (database code) you will need to create the user-defined assignment fields, and potentially also create the user-defined assignment translation codes (if the values you create aren’t valid in OnSIS for Ontario Customers).

Size – Enter the size of the field i.e. the number of characters you want to be able to enter for the user-defined field.  Below is a table showing the maximum number of characters you can enter for each field:

Translation Database Prefix – This field and functionality was created Ontario Customers for Government required reporting.  You only need to fill the prefix fields in if you need to translate user-defined assignment fields to approved OnSIS Values.  If you do, select the prefix code that applies to how you are intending on using the user-define field.  For example, if you are going to enter typing type in a user-defined assignment field, and you needed to translate the HR value to an acceptable OnSIS value, you would enter TEACHING_TYPE in the TRANSLATION DATABASE PREFIX field for the applicable user-defined assignment field.
