Mass Stock File Delete

The Mass Stock File Delete program provides the ability to mass delete stock items based on a commodity code and/or a range of stock item numbers. Stock items to be deleted would follow the same rules and conditions as those currently applied when deleting a single stock item.

  • By default, this process will attempt to hard (permanently) delete the item(s) specified by checking all appropriate files for stock file activity.

  • This process cannot be run on-line and must be run in batch mode.

  • If there is a positive balance on hand for the inventoried stock item within any warehouse in the current year, the process will not delete the item(s).

  • If the balance on hand is zero but the inventoried stock item is still referenced by other files such as the Purchase Order File, Tender File, or Purchase Requisition File, the stock item will be flagged as soft deleted.  

  • Stock item(s) with a soft delete status will remain in the system but no new activity can be processed for the item(s).

  • If the balance on hand is zero and the inventoried stock item is not referenced in any other files the item will be physically hard (permemently) deleted and removed from the stock file.


Commodity Code

  • Enter a commodity code, or press select the magnifying glass to search for a commodity code.

Inventory/Non-Inventory/Both

  • For atrieveTendering (tendering) and atrievePurchasing (requisitioning), this prompt will not be accessible, and only non-inventory items will be able to be deleted. Within the atrieveWarehouse (warehouse) system, inventory, non-inventory or both inventory and non-inventory items can be selected.

Starting Stock Number

  • Accept the default of the first stock item within the commodity code selected, enter a starting stock number, or select the magnifying glass to search for a stock item.

Ending Stock Number

  • Accept the default of the last stock item within the commodity code selected, enter an ending stock number, or select the magnifying glass to  search for a stock item.

Preliminary/Final

  • Running the mass delete in preliminary mode would generate a report only, indicating the stock items and whether they would be hard deleted or soft deleted.

  • When run in final mode, the stock items will be deleted.
