Authorizer/Location Security Setup

To set up Authorization for atrieveTendering Requirements and atrievePurchasing Requisitions, you must setup the following items.

The Location Database must be defined for both atrieveTendering and atrievePurchasing. The database must contain the same values as your dictionary levels in atrieveFinance that represent location.

• atrieveTendering - Set up Location Database.

• atrievePurchasing - It is not necessary to setup locations elsewhere if field #02 in the Requisition Profile is set to use atrieveTendering locations. If 'N' was entered in this field, you must make sure that all locations are set up in the atrieveFinance Vendor File with the same values as in your atrieveFinance dictionary.

The organization level in the atrieveFinance User Profile field #02 must be set to the element of your GL account that represents locations. The system will use the dictionary values of this element to validate the entries in atreiveSecurity Management System.

All staff involved in the atrievePurchasing and atrieveTendering systems must have their Location Code setup in atreiveSecurity Management System for each product. The Location Code is validated against the atrieveFinance General Ledger Dictionary File. For those accounts where users are not to be restricted to one location a Master Location Record '***' can be specified, allowing access to all locations.

Each location MUST have at least one Authorizer setup in Security. This database allows you to specify each individual who can authorize items at a location. The passwords setup in this database are required when authorizing items. For those accounts not restricted to one location a master authorization record '***' must be set up. This record will contain the names and passwords of individuals able to authorize all items.

Summary:

1. Setup atrieveTendering Location database and/or atrieveFinance Vendor file with location codes that correspond with your GL dictionary values in atrieveFinance.

2. Enter your organizational level in the atrieveFinance User Profile field #02, of the element of your general ledger that represents location.

3. Setup Location Security in atreiveSecurity Management System for each location and product being used ,7).

4. Setup Authorizer names/passwords in atreiveSecurity Management System for each location and product, giving access to individuals able to authorize Requirements or Requisitions.
