The External Increment Load/Recalculation process allows the means of doing the loading of the 'I' or Increment storage banks values external from the payroll stream. This process could be used in situations such as in September when you want to preload the Increment sick leave storage bank to ensure the bank balance is available for sick leave withdrawals for the month of September. This allows the sick leave bank to disallow negative balances but still have the September sick leave increment available for use before the month end payroll run.
This process applies hours and/or earning increments using the same rules as applied to the payroll stream. The one exception is for Increment storage bank tables defined to prorate based on several hours worked. The total hours worked in this situation is determined by the hours on the employee's active function lines.
This process can also be used to correct any storage bank increments where the storage bank table values were not correct at the time the payroll was run. This process will rework the hours/earnings increment values and update the storage bank with the appropriate correction.
The storage bank history entry is recorded as an increment or 'IN' with the reason defined as "Increment RECAL"
Note: The storage bank table to be incremented must be in cycle or not out of cycle for the pay period processing the storage bank increment. Ensure the applicable storage bank cycles are defined on the payroll calendar(s) for the pay period(s) to be processed as defined by the Starting and Ending Pay Period. You may want to remove the storage bank cycle codes from the payroll calendar after doing the storage bank increment to prevent the Calendar Copy from setting up the increment on a future unprocessed pay period.
When the storage bank table to be incremented is defined to prorate the increment based on the employee's function line percent employed, those function lines must be in cycle for the pay period used to process the storage bank increment. If for example you are doing an increment into August prior to the September pay run, some employee may not be in cycle in the August payroll calendar. By adding their cycle to the August calendar for the Storage Bank Increment Load allows the function lines to be active and selected. You should then remove the pay cycle afterward to avoid confusion and interference with ROE processing.
This process includes the option to maintain multiple sets of stored prompts.
Name the prompt sets by defining a title up to 10 characters, with a 30-character description.
On the first prompt click the Report Defaults icon to select an existing set of prompt values. You can delete prompt sets or change the description from the Report Default icon.
This option will run in batch only.
