Employee Record Purge

This module is used to delete all an employee's records from this payroll when an employee has no history or timesheet entries. Employees may only be purged when an employee has no records under the YTD history and no timesheet entries including variable deductions. The Employee Record Purge is a safer option for removing an employee from a payroll when the employee was added by mistake.

This option is a batch process that allows any number of employees to be submitted for purging. A listing of the total records per type is generated for each employee purged.

NOTE: This job will run only in batch.

The Number Of The Employee To Be Purged

• Enter the employee number or use the look-up for a full list of employees by name.

Select the indicator to view a list of employees currently selected for purging.

'Run' to submit the purge process with the employee selected. You will be shown the message'# Employees Selected for Purging 'upon exiting this process. The number of employees selected for purging is displayed in order to ensure the correct number of employees will be processed.

Is This The Correct Employee?

When an employee number is entered, the employee number and name are displayed to ensure the correct employee has been selected

• Enter 'N' to cancel purging this employee and return to the employee number prompt.
• Enter 'Y' to continue with the selection of that employee's deletion.

The employee will be rejected when the employee exists in another payroll:

• Employee ######  Exists In Other Payroll ####
• Employee Cannot Be Purged From Human Resources With Multiple Payrolls

The employee will be rejected when the employee has any YTD history records:

• Invalid Employee Purge For ######  Employee Has YTD History

The employee will be rejected when the employee has timesheet entry records:

• Invalid Employee Purge For ###### Employee Has Timesheet Record

Purge Employee

• Enter 'N' to reject the purging of this employee and return to the employee number prompt.
• Enter 'Y' to verify selection of this employee.
