Employee Rebuild Differences Report
This report is a verification report. The program compares the totals of the year-to-date values against the employee master values to determine if the payroll year-to-date figures agree with the detail records totals. Any deductions that are not year-to-date deductions are reported separately under a selective deductions section. Selective deductions are determined by a Zero Balances field value of 'S' on the Deduction Code screen. Pay period ranges for selective deductions generally do not follow the payroll calendar as regular year-to-date deductions do.
This program can be useful if a system failure occurs or some other event that leaves you with some concern about the possible validity of the figures between your year-to-date file and your employee master file. If you discover any differences, you may use the Employee Record Rebuild program. That program will rebuild the balances from the figures contained in the year-to-date file.
Whenever a difference is discovered between the detail history values and the employee master value, the program lists a series of totals comparing the two sets of figures for review. If you request the summary report, the program only reports differences. If you request the full report, the program will list employees where no differences are found and print a message telling you that there are no differences.
Process Summary or Full Report
- Enter 'S' to produce a summary report that only reports employees that have differences between their master and year-to-date history files.
- Enter 'F' to produce a full report that reports all selected employees.
Report Earnings, Deductions or Both
- Enter 'B' to report both the employee's earnings and deductions.
- Enter 'E' to only report earnings based on the pay periods selected.
- Enter 'D' to only report deductions based on the pay periods selected.
Selecting 'D' or 'B' to Report Earnings / Deductions / Both, the following will prompt will display:
YTD Deductions / Selective Deductions / or Both
- Enter 'Y' to report year to date specified deductions.
- Enter 'S' to report selective specified deductions.
- Enter 'B' to report both above.
If Report YTD and or Deductions was chosen, two prompts will be displayed:
Starting Pay Period For YTD Earnings
This prompt will end with either earnings and/or deductions, depending on which you want to report. Enter the starting pay period which marks the beginning of the payroll year. The default pay period for the beginning of the payroll year will be displayed.
Ending Pay Period for YTD Deductions
This prompt will end with either earnings and/or deductions, depending on what you want to report.
This ending pay period is taken from the current pay period, element 8 of the Payroll Master Profile in payroll.
Enter the ending pay period to be used in the report, if the ending pay period presented in the default is not the correct one for the report.

Selective Deduction Code
Deduction codes are normally based on the payroll year. If you have any specific deductions which are to be reported in a pay period range which differs from the pay period range used to report year to date deductions, you should enter these deduction codes in response to this prompt. In order to enter a code at this prompt, it must be a valid Deduction Code defined as a type 'S' or 'N' on the Zero Balances field on the Deduction Code screen.
Starting Pay Period for Selective Deduction Code
- Enter the reporting starting pay period for the selective deduction.
Ending Pay Period for Selective Deduction Code
- Enter the reporting ending pay period for the selective deduction.
Accept this Selective Deduction
- Enter 'Y' to accept the selective deduction code and its associated pay period processing range. Enter 'N' to reject the selective deduction code.
