Global Location Renumber Process

The Global Location Renumber Process lets you change the location code field from one number to another one globally in the system. This process is useful when a location's code changes, and you want to change it throughout the system. Every file in HR will have its location code changed from the old number to the new number.

This process will let you renumber demographic files (those without effective dates) and historical files (those with effective dates). The reason for this distinction is so that you can renumber a location as of a certain date. You could, for example, renumber just the historical files between a specified date range. This is useful if you decide to renumber a location retroactively. Consider this example:

It is now January 1st. You decide that you want to change a location number effective last September. You want all records since that time to keep the current location number, and all records before that time to be renumbered. So, all absences, dispatches and assignments (and all other 'historical' files) before September 1st would be renumbered to the new location, while all records after that would be left the same. In this example you might enter Jan 1st, 1900 as the start date and August 31st, 2004 (assuming its now 2005) as the end date. You would also choose to not update demographic files.

If you want to renumber everything, you would just simply enter a History File Date Range that encompasses everything - i.e. Jan 1, 1900 to Dec 31, 3000. You would also renumber the demographic files.

Note: This process will Not break up assignment records (or any other history file records) if the specified date range is in the middle of the assignment. If an assignment is at all over-lapped by the specified date range, it will be renumbered.

Note: Before you can run this process, you must create the new location in the Location Database Additions Screen. The location file is not renumbered as part of the global renumber process. 

Location to Renumber

  • Enter the location code you want to renumber. Search to view valid HR locations.

New Number

  • Enter the number you want to renumber the location to. Search to view valid HR locations.

Renumber Demographic (Non-Dated) Files

  • Enter 'Y' if you want to renumber HR's demographic (non-dated) files. These files are ones that do not have effective dates on them. For example, the employee's demographic location (on the employee information screen) does not have an effective date. The location there is the employee's demographic location. Dates don't determine when it comes into effect.

  • Demographic files include:

    • Automated Dispatch PIN File

Renumber History (Dated) Files      

  • Enter 'Y' if you want to renumber HR's 'history' (dated) files. These files are ones that have effective dates on them. Absences, dispatches and assignments all have effective dates.

  • History files include:

    • Absence Detail History File

    • Absence Master File

History File Date Range

  • If you choose to renumber history files, you will be asked for a date range. All records that take affect during any part of this date range will be renumbered. Where a record has a start and end date on it (like an assignment), no attempt will be made to break the record into two pieces – one with the old location and one with the new. If any part of a record overlaps any part of the specified date range, the entire record will be processed and re-numbered.

Preliminary/Final      

  • Enter 'P' to run this process in preliminary mode. It will show you all the files that will be affected by the process but will not update any of the records.

  • Enter 'F' to run this process in final mode. It will update all records according to your specification.

Note: This process could take a considerable amount of time to run. Absence and dispatch files are typically very large and will require a lot of time to update. Running this process in preliminary mode takes almost as long as running it in final mode.
