Aged Trial Balance
The Aged Trial Balance report allows the user the ability to obtain the standard aged trial balance of 30-60-90-120 days for one or all receivable groups. This report can be sorted by customer number, customer name, sort code, or receivable GL. This option can also produce a debit or credit arrears report.
The Aged Trial Balance Report allows the user to specify up to a maximum of four age ranges. The user may also specify that the report show the detailed aging of all transactions for accounts. In this manner, the user is given the flexibility to obtain the report as he/she wishes to see it.
Accounts Receivable Standard Aged Trial Balance Data Entry
Enter Receivable Group Code
Your default receivable group will appear here. If you are authorized to change the group code, you may do so by re-keying the field. To obtain an aged trial balance of all receivable groups, type 'ALL' in this field.
Enter Selection Sequence
Enter the number of the type of report you wish, followed by a <Enter>.
If option 4, Sort by Receivable GL is selected, you will be prompted for both a starting and ending GL and also a starting and ending customer number.
When the report is run in batch, the selection of report type may be more than one option (i.e. reports can be sorted by customer number and by sort code. When the report is run on-line, the choice is limited to one option at a time.
If option 1 is chosen (account number) the system will prompt:
Starting At Customer
Ending At Customer
A <Enter> will produce a report for all customers who have outstanding balances. A specific range of customers may be reported on by entering a starting and ending customer number. If option 2 is selected, the system will prompt in the same manner, except that it is looking for a customer name as opposed to a number. The same is true for option 3, account sort codes, and option 4 receivable GL.
When all parameters have been entered the system will prompt:

The operator will specify the aging ranges for this group of reports (defaults 30-60-90-120 days). These parameters can be set up to report in any way the user wishes.

Report Account Balances That Are Debit/Credit/Both
Enter 'D' for a Debit Arrears Report. The report produced will be of debit entries only (e.g. Invoices, Adjustments).
Enter 'C' for a Credit Arrears Report. The report produced will be of credit entries only (e.g. Open Credit/Cash on Account/Credit Notes).
NOTE: Both of these reports include all transactions for each customer up to and including the date the report was run. (Customers with a credit balance will not show up on a Debit Arrears Report.
Enter 'B' for a trial balance of both credit and debit entries for a customer.
The Next Prompt Will Only Appear If 'B' Had Been Entered Above
Enter Cut-Off Date
Enter the cut off date for the report in the format YYMMDD. All transactions up to and including this date will be included in the trial balance report.
Account Detail/Summary
Enter 'D' if details of each transaction processed for an account are to be shown on the report.
The Prompt Below Will Then Appear
Enter <Enter> or 'S' if only the account totals are to be indicated on the report.

Enter 'D' if document details of each transaction are to be shown on report. These details include reference #, date entered, due date, source code, invoice # and all transactions against that invoice number.
