Salary Grid Adjustments

The Salary Grid Adjustments program provides a capability to create new salary grid points from existing ones based on percentage or fixed amount increases. These new grids can be used for projection purposes, for salary grid updates to the payroll master file to implement newly negotiated salary ranges and for purposes of projecting costs based on bargaining positions of various bargaining groups. The program can adjust rate hours or both. It can implement a fixed increase or a percentage adjustment. It can provide upper and lower limits in conjunction with percentage adjustments where appropriate.

Review the Salary Grid Database in the database section of this manual and be familiar with the recommended structure of salary grids for use in the Payroll system.

Each grid entry contains twelve different grid points. During master file maintenance, the hours and rate in Grid Point 1 are used to provide the default rate and hours on function line creation for an employee master record. Grid Points 2 through to 12 are usually intended for projection purposes and can be moved to Grid 1 position for future file maintenance. Other programs in this section will allow you to use any one of the twelve grids to update the employee master file to place new rates in effect for processing purposes.

This process includes the option to maintain multiple sets of stored prompts.

Name the prompt sets by defining a title up to 10 characters, with a 30-character description.

On the first prompt click the Report Defaults icon to select an existing set of prompt values. You can delete prompt sets or change the description from the Report Default icon.

Use Grid Point 1 Through to 12

  • Enter the number of the grid point for use as the basis for the adjustment. For example, you may want to use Grid 1 and create a Grid 2 which is increased by a percentage from Grid 1.

Enter Destination Grid Point

  • Enter the grid point number where the results of the increase are to be stored. You can specify a destination grid point that is the same grid as the source grid. In this case the results will overlay the original grid figures.

Replace or Insert Destination Grid Point

  • Enter 'R' to replace the destination grid point values with the new values.
  • Enter 'I' to insert the new value at the destination grid point. All subsequent grid point values will be shifted down one, with the original value under grid point 12 being dropped.

Move Rate, Hours or Both

  • Enter 'R' to move the rate only.
  • Enter 'H' to move the hours only.
  • Enter 'B' to move both the rate and hours.

Adjust Rate, Hours or Both

  • Enter your adjustment choice, either rate, hours or both. Normally, you would adjust one at a time. The program does not allow you to specify a separate factor to adjust rate by and another set to adjust hours by. If you specify both, then both will be adjusted using the same factors. Some adjustments, if you are expecting to adjust rate and hours, may require two passes through the grid to accomplish the adjustment.

Fixed Amount Increase

  • Enter the dollar amount by which you want all grids increased. For example, if all grid points were to increase by a flat $100, enter 100. to this prompt.
  • Enter or Ø if a fixed amount increase is not required.

Percentage Amount Adjustment

  • Enter Ø if a percentage adjustment is not required.
  • Enter the decimal fraction which represents the percentage by which you want to adjust the rate or hours in the grid. For example, to increase a grid amount by 5.5 percent enter 1.055. NB: The fixed amount increase is added to the grid first and then the percentage adjustment is applied. If you need the reverse of this, then you should do one pass adjusting the grid using a percentage and a second pass updating the same grid using it both as source and destination to add the fixed amount increase.

Enter A Minimum Amount

  • Enter if you do not want a minimum set for an amount to be added to the grid.
  • Enter the amount of the minimum to be given to any grid point. This amount will be used as a measure in the program to determine whether the rate, the percentage and/or the fixed amount increase are equal to or greater than the minimum. If they are not, the minimum is applied to the grid as an increase.

Enter A Maximum Amount

  • Enter if there is no maximum limit for an increase to a grid point.
  • Enter the amount that is to be the maximum to any grid point. The increase (the fixed amount plus the percentage increase) will be applied to the grid. These will then be measured against the maximum amount and, if they exceed the maximum, the maximum will be added to the grid point.

Enter Starting Grid for Range

  • Enter for all salary grid items in the salary grid data base updated.
  • Enter the specific 6-character salary grid start point the update is to begin at.

Enter Ending Grid for Range

This prompt will only appear if you entered a specific starting point in response to the previous prompt. If you select All, this prompt is not displayed.

  • Enter the 6-character grid point at which you want to end the update.

Rate to Whole Dollar Round/Truncate/two/Default

This prompt does not appear if you have indicated that hours only are to be adjusted.

  • Enter 'D' for the adjusted rate to be rounded to three decimal places.
  • Enter 'R' to have the adjusted rate rounded to the nearest whole dollar.
  • Enter 'T' to have the adjusted rate truncated to a whole dollar amount.
  • Enter 'W' to have the adjusted rate rounded to two decimal places.

Report Only or Process

  • Enter 'R' to generate just a report. The salary grid database will not be updated.
  • Enter 'P' to generate the reports and update the salary grid point with the new values.

Report Content

Report headings include the description describing the options selected at run time. It identifies the range of grids to be adjusted, the percentage increase and other options.

The report lists the following items:

  • Grid Number This is the grid number listed from the salary grid database.
  • Salary grid code.
  • Starting grid point
  • Starting grid point hours and salary
  • Destination grid point
  • Hours corresponding to the destination grid point
  • Adjusted salary figure for destination grid point
  • All adjusted grid points when 'I'nsert grid point was selected
