GL Adjustment Entry

The GL Adjustment ENTRY allows selected GL history entries to be adjusted by distributing GL amounts to a different GL account code. Each GL adjustment entry generates both the reversing GL entry to the old GL account code, as well as the new GL entry to the new GL account code. All GL adjustment entries are processed into the journal entry interface file ###%%%%PRinØD.YPP, where ### is the Finance interface code and %%%% is the payroll ID, the YPP is the current pay period taken from the Payroll master profile. These GL adjustments would then be manually or auto interfaced into the Finance system.

When Auto Interfacing is active:

Upon exiting from this process, you will be prompted:

Do Auto Interface

  • Enter 'N' to omit the auto interface currently.

  • Enter 'Y' to auto interface the Journal Entries generated by this process.

Adjustment by Employee Number or GL Account

  • Enter 'E' to select GL transactions for a specific employee.

  • Enter 'G' to select GL transactions for a specific GL account code.

When selection by 'E'mployee was chosen:

Enter Employee #

  • Enter the employee number of the employee that is to be access. Use look-up to select by employee name.

When selection by 'G'L account was chosen:

Enter GL account

  • Enter the GL account code to be adjusted.

Enter Period #

  • Enter the pay period where the adjustment is to be made. Use look-up for a list of valid pay periods.

  • Enter 'N' when no adjustment is necessary or all adjustment have been completed,

GL Account

  • Enter the new GL account code to be used on this adjustment.

Document #

  • Accept the system default document number or enter up to 8 characters of an adjustment reference number. This field will accept both numbers and letters. This field is mandatory.

Hours

  • Enter the hours to be adjusted to accept the default of the full hours amount.

Amount

  • Enter the amount to be adjusted to accept the default of the full amount.

Cost C

The costing field does not apply to liability transactions.

  • Enter to accept the existing costing or enter a valid cost center or costing distribution code.
