Group

A Group code is a method of grouping like assets into smaller groups for management purposes.

Group

A group code is similar to the maintenance class and user flag but far more versatile. The group code allows the user to define a format for the asset numbers that will appear in reports. As well, the group code will allow you to set up special prompts for use with the extended data on the master file.

Group

  • Enter up to a 4 character code for this group.

Item Number Format

  • Enter up to a 30 character print mask. The print mask defined here is how asset numbers of all assets belonging to this group will be formatted on reports.

An asset number in FAS can be a maximum of 20 characters. When defining this groups format you are given 10 additional spaces to allow formatting. e.g., Your asset number is '111222333444'. /to have it formatted into 4 separate sections for ease of reading, you would enter `````````-```. Any character can be used to separate the sections.

Leave blank if no mask is to be used.

Description

  • Enter up to 30 characters of descriptive information.

Prompt

  • Enter a 10-character prompt. These prompts are used in the Master Asset modules to allow you to enter extended data. 

e.g., The group code you are setting up is to be used with all light duty trucks. The following are items you may want to know about this group of assets:

  1. fuel type

  2. colour

  3. make

  4. model

or

  1. Manufacturer

  2. Model

  3. Serial Number

Field Type

  • Enter the type of information you want to be entered at each extended data prompt.

  • Enter 'A' for alpha-numeric characters.

  • Enter 'N' for numeric characters.

  • Enter 'D' for date, (YYMMDD).

Field Type

For each prompt, there MUST be a field type.

Valid Field Types are:

  • Enter 'A' for alpha-numeric characters.

  • Enter 'N' for numeric characters.

  • Enter 'D' for date, (YYMMDD).

No other types will be allowed. e.g., for a fire hydrant location the field would be 'A' to allow the entrance of letters and numbers. For a prompt like 'GASKET', the field type could be 'N' for numeric to describe the type of gaskets to use.
