Report Writer - Scheduled Reports

The new Report Writer provides enhanced functionality enabling you to set a recurring schedule for reports. Reports that have been setup on a recurring schedule will be run automatically by the system when the next run data and time is met.

Defining a Recurring Schedule

  1. In the report listings table click the ellipses in the More Actions column for the report that you want to schedule

  2. Click Add Schedule and a popup window will open

  3. Select the Frequency

    1. Once

    2. Daily

    3. Weekly

    4. Monthly

    5. Yearly

  4. Select the start date and time

  5. Select when the schedule will end

    1. by end date

    2. by number of occurrences

  6. Click Save

  7. If the report does NOT have any run time prompts then the window will close and the schedule will be added to the Schedule table

  8. If the report does have run time prompts then a popup will open where you may set those values. Note that it may only be applicable to setup a report schedule for reports that do not have run time prompts or if the run time values can be set once and do not change each time the report is generated.

Scheduled Report Table

To view a listing of reports that have been set to run on a recurring schedule, expand the Scheduled Reports section of the Report Writer page. The Scheduled Reports table displays information about the schedule including the Name of the Report being scheduled, the frequency and the Date/Time of the next run.

  • Report Name

  • Recurrence - the frequency i.e. once, daily, weekly, monthly, yearly

  • Remaining Occurrences - how many occurrences are left to run

    • example 1: The report is scheduled to run once a month starting on Jan 31 and ending on Dec 31, on Jan 1st the system would show 12 occurrences remaining. On April 1st the number of occurrences would be reduced to 9 remaining.

    • example 2: The report is scheduled to run Once on April 1st. On April 1st, the report will generate and be added to the Processed Reports table and would be removed completely from the Scheduled Reports table as there are '0' zero occurrences remaining

  • Date/Time

  • Delete

Modify Schedule: To modify a report schedule click on the report name hyperlink in the Scheduled Reports table, and the schedule popup window will open enabling you to make changes to the scheduling details.

Note that if the report schedule was previously saved with run time prompts and you wish to adjust those values, you will need to create a new schedule. Once set, the run time prompts are not editable. It is recommended in this scenario that you create a new schedule and delete the previous.

Delete Schedule: To Delete a report schedule click on the delete icon (minus sign) in the far right column of the table. You will be prompted to confirm the deletion.
