Regular Security

This option is used to set up the list of modules in which the operator’s access will be restricted based on Allow, Disallow, or Tailored Menu.

Regular Security MUST be set up for the operator before the other types of special security can be accessed.

When accessing Regular Security for a user for the first time, you’ll be asked for a Security Type.

Security Types Explained

There are three security types: Allow, Disallow, and Tailored Menu. Each behaves differently.

Key rule

When to use Allow

  • When access should be tightly controlled but menus should remain visible

  • When it is easier to list what a user may do than what they may not

  • Common for inquiry‑only or limited‑role users

Key rule

Disallow is an opt‑out model: everything is allowed unless it is listed.

When to use Disallow

  • Power users or administrators

  • When most access should be available, with only a few sensitive exceptions

  • Situations where “block the dangerous stuff” is clearer than “allow everything else”

When to use Tailored Menus

  • Clerical or occasional users

  • High‑risk areas (Payroll, Finance)

  • When simplicity and error prevention are critical

Sequence Table

Once a Security Type is selected, if needed, add applicable sequences.

Table Buttons:

Type

  • Change the Security Type for this user.

Paste

  • Paste an entry into this table.

Cut

  • Cut an entry from this table.

Group

  • Attach, remove, or create a Group. Groups are security records that can be created and shared by many users. Refer to the section on Selecting Groups for more detailed instructions.

Users

  • View a list of all users attached to the current Group. This option is not available when the Group is set to None.

Insert

  • Insert a sequence into this table.

Modify

  • Modify a selected sequence from this table.

Allow and Disallow Security

  • When inserting or modifying a sequence entry, enter the numerical menu sequence of the menu option you wish to add to the operator’s security.

  • Once a valid sequence has been entered, the description of the menu option will display and the program will then prompt you to enter another security sequence.

Note:

  • When using Allow security, it is possible to specify security on all options from a menu by using a wildcard of '*'. Example: to allow the operator access to all options on the BAS Invoice Entry menu, the sequence 2,* would be entered.

  • When using Disallow security, you can restrict all the options on a menu simply by entering the sequence for the menu. Example: To disallow all options on the BAS profile menu, the sequence 8,7 would be entered.

Tailored Menu Security

  • Enter the product containing the menu sequence you want to insert.

  • The product does not have to be the same as the main product defined on the first ‘Password Additions’ or ‘Password Changes’ screen.

  • Keywords: use any of the following keywords to update the layout of the tailored menu

    • HEADER: Enter ‘HEADER’ to trigger a header description. The description will appear bolded on your finished menu screen.

      • Skip Before: You will be prompted for the number of blank lines added before the header is displayed

      • Skip After: You will be prompted for the number of blank lines added after the header is displayed

    • EOC: Enter ‘EOC’ to end the current column on the menu screen. Following entries will start on the next column on the menu. There is a maximum of two columns allowed per screen.

    • EOP: Enter ‘EOP’ to end the current menu screen. Further entries will start on the next screen.

  • When the numeric sequence being added to a tailored menu is a Main Menu sequence (e.g. PRM 1), you will be prompted “modify security for this option”. Select No to allow the user to have access to all the programs that appear on a regular menu under this main menu option. Enter Yes to modify security. You will be asked to input which menus appear on a regular menu under this main menu option the users will be allowed or denied access to. You will be required to specify the Security Type (Allow or Disallow) that you wish to use when setting up this security. Another screen will display. This is where you will set up the sub-menu security. The menu sequence expected in the remaining sequence that follows the main menu (E.g. if the main menu entered was PRM 1, then entering 1,2 here will give/restrict access to Employee Changes, which sequence is 1,1,2).

Selecting Groups

Groups are groups of security compiled under one group name. A group may consist of menu security, adhoc security, and GL security.

Groups are normally created by entering the code ‘GROUP’ in Password Additions. Alternatively, security can be set up for an individual user and then copied to create a group that other users can be assigned to. This is done by using the Create option within the Group function of Regular Security.

If the group selected contains Adhoc or GL security, etc, you will be prompted: “Set all security types to this group”. Selecting Yes will add all the security contained in the selected Group to this user’s security profile. Select No to leave all other security as set before the Group was attached. Only menu security will be added to this user’s security profile.
