GL Distribution File Purge

The GL Distribution File Purge module purges information no longer required out of the GL history file. This file stores all the GL account records with the interfaced amounts for individual employees. It is named PRGH01.DAT. Any old GL history records not needing display or reporting can be purged from the file. The purge module uses a file optimization process that compresses the data in the GL distribution file so that the file uses the least amount of disk space. There is an option to place the purged records in a file named PRGHØ1.HST. We recommend taking a backup of the Payroll directory. At the same time, back up the history files and delete them from the system. If you want a permanent record of the records to be purged, we recommend taking on archival backup of the file before the purge.

NOTE: This option is forced to batch and should be run only when users are NOT active in this payroll.

Enter the Start Period to be Purged

  • Enter the starting period to be purged from the file.

Enter the End Period to be Purged

  • Enter the last period to be purged.
    The periods deleted will be displayed.

Create History File

  • Enter 'Y' To Create A History File Containing All Purged Records.

  • Enter 'N' if you do not wish to create the history file.

Enter the Lowest Allowable Disk Space

  • Enter a number representing the lowest number of free blocks that you require for your payroll disk device. The purge utility compresses the GL distribution file while ensuring that the number of blocks remaining for use on your disk does not fall below this number. The system will not accept a number less than 20000 blocks.
