The CRC Employee Selection module lets you select employees for the Criminal Record Check.
Starting Last Name of Employees
Enter the first few characters of the Last Name of employees for selection. System will compare entered characters with the last name of the employees for selection. If no data is entered, the system will start selecting employees whose last name starts with an 'A' or higher letter.
Ending Last Name of Employees
Enter the first few characters of the Last Name of employees for selection. System will compare entered characters with the last name of the employees for selection. If no data is entered, the system will select all employees starting with last name in the previous prompt.
Employee Status Code to Exclude
Enter up to 10 Employee Status Codes. Employees with matching entered Status Codes will be excluded from selection. If no Status Codes are entered, all employees will be considered for selection. You may want to exclude employees that are Terminated, Deceased or Laid-off.
Employee Category
Enter up to 10 Employee Categories. Employees with matching the entered Categories will be considered for selection. If no Categories are entered, all employees will be considered for selection.
Select Employees Cleared Prior To
System will default to a date that is specified number of months (in CRC Profile) going back from today. User can change this date and enter a new date. Employees who have cleared CRC Check prior to this date will be considered for selection.
Exclude Employees Older Than (Yrs)
System will exclude employees that are older than specified number of years (in CRC Profile) as of today. User can change this value at run time. To select all employees, you may enter 99.
Extract Only Emps With CRC Consent
This prompt appears only if you have indicated in CRC Profile that you do have a field for Employee Consent on the Hire Screen. If so, enter ‘Y’ to select eligible employees if the Consent field on Hire screen is ‘Y’. Enter ‘N’ to select eligible employees regardless of the value in Consent field. If Employee Consent data is not maintained, this prompt will not appear and all eligible employees will be considered for selection.
Comment
Enter a comment for this selection (up to 70 characters). It is for district use/reference only.
Report Selected Employees Only
Enter ‘Y’ to report only the selected employees. Enter ‘N’ to report all eligible employees including the ones that were not selected based on the Employee Status and Category codes.
E-Mail Address for TAB Delimited Report
Enter the e-mail address of a person at your district who is supposed to receive the Selected Employees report in a TAB delimited format. This report will be prepared and sent in Preliminary run or Final run mode (if the e-mail address is filled in). Leave this field blank if the report is not required in TAB delimited format.
Employee Selection
Enter A to consider all employees for selection.
Enter S to enter selected employees individually.
Preliminary/Final
If a Preliminary run is selected, only the report of employees that would have been be selected is prepared. No file updates are done. If a Final run is selected, a report of selected employees is prepared and CRC file is updated with the selected employees’ records. In either case, a data file of selected employees is prepared and e-mailed to the address entered above.
Note:
The extract process will exclude employees from selection that meet the following:
