The OTIP Export Changes option allows you to view and/or change the OTIP data generated by running the OTIP Export Process Changes made through this process must then be re-reported to create a new set of export files through the reporting option of OTIP Export Process.

Please refer to the OTIP EXPORT PROCESS – FULL HRIS VERSION for full details of all fields per HRIS record. That section details where and how the field values are determined. The field definitions relate directly to the OTIP supplied example spreadsheet.
HRIS Member Record
An employee can only have 1 member record but with any number of position and leave records. Leave records only apply when the employee’s member work status code is of a leave type.
Note, the number of Position and Leave records is reflected in the tabs. Terminated, Deceased and Retired Members do not have a position nor a leave record. Should records exists for a member record with those status, the records will be omitted.
The fields listed under the ‘Employment Details’ section are all linked to the Employee Effective date. Changing any of those fields will trigger a date change when the OTIP Export Process is run.
The Work Status field is linked to the Status Effective date and changes to the Work Status will trigger a date change when the OTIP Export Process is run.
The OTIP Id number is pulled into the HRIS reporting from the OTIP supplied Benefits Update file when the HRIS Benefits Update Process is run. Once the Benefit Update is run then the next time an OTIP Export Process is run in create mode, the OTIP Id number will be populated and maintained.
When you select to delete an employee’s member record, all records for that employee will be removed. An employee cannot have a position nor leave record without a member record.
HRIS Position Record
As per the OTIP spreadsheet definitions, different fields apply to CUPE members than to those of other unions.
The FTE or Scheduled Hours for CUPE are linked to the Scheduled Effective Date. Any changes to those fields will trigger a date change during OTIP Export.
The Annual Salary or Hourly Rate for CUPE, are linked to the Salary Effective Date. Any changes to those fields will trigger a date change during OTIP Export.
When adding a position record you are prompted for the assignment to be used for the creation of the position record. Each position record should relate to an assignment. Like assignments with the same position and dates are merged into a single Position record during the OTIP Export generation process.
HRIS Leave Record
The leave record only apply to employees with a Member status other than active.
Members Only Changes
Select the field to be changed.
Select the Delete button to delete the current OTIP record.
Select the Next button to move to the next record and screen for the current employee.
