Union Staffing Notification Report

The Union Staffing Notification Report displays notification information in a format that the union can understand. This report can be printed or e-mailed directly to the union. The default sort of this report is by Notification Code. This will allow you to report to the union staffing changes grouped together by notification code. Reasonable notification codes may include the following: New Hires, Terminations, Lay Offs, Leaves, Returning from Leaves, Change in Location, Increase in FTE/Hours, Reduction in FTE/Hours, Change of Salary. Information grouped in this fashion should present the staffing changes in a meaningful way for the union. This report displays the old, the new, or both the old and new assignment information based on the effective date of each notification. Assignment information that is displayed includes: Employee name and number, position description, start and end dates of the assignment, assignment type description, salary grid description, location name, and hours/FTE.

When you set up each notification code, you can determine whether the old, new or old and new assignment information is displayed for each notification. The field Union SCF Format lets you choose which of these 3 settings you want. If you choose to see just the old assignment(s), assignment(s) current as of the day before the notification effective date will display. If you choose to view just the new assignments, just the assignments current as of the notification effective date will display. If you choose both the old and the new assignments, then both the old and the new assignments will display.

The reason for giving you this option, is that for some notifications ('termination' or 'lay-off'), it doesn't make sense to display the assignments as of the effective date, because there wouldn't be one. The effective date would be the day after the last day the employee worked and therefore the employee would have no 'new' assignments. Similarly, notification codes such as 'new hire' would not have any old assignments, so you would likely only want to show the new ones. This feature becomes important especially if you decide to only show either the old or the new and not both. This setting will tell the system which assignments (either the old or the new) should be displayed.

You can select notifications by number, effective date range, completion date range, employee category, notification status, notification code, destination code, payroll ID, destination and destination user. The report can be sorted by employee, notification number, effective date, notification status, notification code destination type, payroll ID and destination user. You can create both a report and produce an export file which file that can then be imported into other applications such as a spreadsheet or word processor.

This report also gives you the ability to change the status of all selected notifications. You would normally select pending notifications and change the status from pending to completed as you create each union report or e-mail. If you do this each time you create the union report, each time you run it selecting just pending notifications, you will get just the new notifications which notifications that have not yet been sent to the union.

If you choose to e-mail this report, you will be prompted for the e-mail address to send it to.

Notification Number

  • Enter a range of notification numbers. Only notifications within the specified range will be selected.

Effective Date

  • Enter a range of effective dates ((YY)YYMMDD). Only notifications with effective dates within the specified range will be selected. All dates must be entered as. It is valid to enter a blank date in the From column.

Completion Date

  • Enter a range of completion dates (YY)YYMMDD). Only notifications with completion dates within the specified range will be selected. All dates must be entered as. It is valid to enter a blank date in the From column.

Employee Categories

Status Codes

  • Enter the notification statuses you want to view on this report. You can enter one or more of the following:

  • Enter 'P' to select pending notifications.

  • Enter 'R' to select reviewed notifications.

  • Enter 'C' to select completed notifications.

  • Each time you Enter your status selection will be displayed nest to the magnifying glass.

  • This field defaults to 'P' to select just the pending transactions. This default can be changed or erased by pressing the space bar.

Notification Codes

  • Enter up to 10 notification codes. Only notifications with the code(s) specified will appear on the report. Leave this field blank to continue to the next prompt.  Search to view valid notification codes.

Destination Codes

  • Enter up to 10 destination codes. Only notifications with the code(s) specified will appear on the report. Leave this field blank to continue onto the next prompt. Search to view a list of valid destination codes.

  • This field defaults to '04' which is the destination code for the union. This default can be changed or erased by pressing the space bar.

Payrolls

  • Enter up to 10 payroll ID codes. Only notifications with the code(s) specified will appear on the report. Leave this field blank to continue onto the next prompt. Search to view a list of valid payroll ID codes.

Destination Users

  • Enter up to 10 destination users codes. Only notifications with the code(s) specified will appear on the report. Leave this field blank to continue onto the next prompt. Search to view a list of valid destination user codes.

Report/Merge     

Report Sort 

  • Enter 1-8 to select how to sort this report. You can choose from the following:

Employee Sort 

Update Status      

  • Enter 'Y' to update the notification status.

New Status 

  • If you enter 'Y' on the Update Status prompt, you will be taken to this prompt. Enter 'P' to change the status to pending, 'R' to change the status to reviewed, or 'C' to change the status to completed.

Email Report      

  • Enter 'Y' to e-mail the report to the union. Enter 'N' to print the report.

Email Address

  • Enter the e-mail address that you want to send this report to.

Employee Selection 

Report Format

  • Enter 1 to produce a report with no comments.

  • Enter 2 to produce a report with comments.

  • Enter 3 to produce the union report.

Page Break      

  • Enter Y to include a page break after each change to the sort field.
