Staffing Notification System Menu

The Staffing Notification System Menu gives you access to the screens, processes and reports that will let you use the Staffing Notification System (SNS).

The Staffing Notification System (hereafter referred to as SNS) is a sub system of HR that allows you to notify various individuals and organizations that an employee's information has been changed. If an employee's status, name, seniority date, assignment or location is changed, transactions can/will be created to notify any/all of the following individuals or organizations: the employee, the employee's supervisor(s), the payroll department, and the employee's union(s).

Various notification methods are currently supported. These include:

  • The employee can be notified by e-mail or by sending a printed document. This document will be sent as an attachment that will be opened with the Adobe Acrobat Reader. This gives you the ability to send professional-looking documents that can even include graphics.

  • The supervisor will be notified by e-mail

  • The payroll department is notified electronically by using the SNS Transaction Processing Screen. This is a windows-based application that allows payroll clerks to view, edit and process employee changes that they are concerned about.

  • The union will be notified by a report that will be printed to paper or e-mailed directly the e-mailed report will also be an adobe attachment.

As you can see from the above description, every effort has been made to reduce or eliminate the use of paper in the distribution of employee staffing information. Additionally, the use of the Staffing Notification Processing Screen by the payroll department will not only eliminate paper being passed between the two groups, it will also give them a way to update their employee demographic and function line information as each transaction is received. The system will calculate the proposed function line changes based on the information entered in HR. These proposed function lines can then either be accepted as is, edited first and then accepted, or ignored completely. Payroll clerks will have complete control over how and when these changes are accepted.

SNS gives you control of the types of staffing notifications that you may want to create. Each different staffing notification type (referred to as notification codes in the system) that you create can contain any of the four above-mentioned destinations: employee, supervisor(s), payroll department and union. Some staffing changes may need to go to all four destinations, while others may only need to be routed to some of them. Each staffing notification code can have its own default long comment for each destination that can be accepted, edited or over-ridden as the notifications are being created. These long comments can be useful in conveying specific and detailed information to recipients of the staffing notification.

Staffing notifications are created automatically by the system when you change an employee's name, seniority date, or status. Because of the potential complexity involved when changing an employee's assignment(s), staffing notifications as a result of assignment changes will not trigger automatic notifications. Instead, once you are satisfied that all affected assignments have been closed, changed or created, you can manually go and create a notification in the Staffing Notification Screen. We recommend that you place the Staffing Notification Screen on your favorites menu so that you have easy access to it. Although the creation of the notification is manually triggered in this situation, the notifications that are created will contain all the assignment changes just completed without having to re-key this information.

SNS is activated by entering 'Y' on the Activate Staffing Notification System prompt on the third page of the HR User Specific Parameters Profile.
