The Certification Menu gives you access to programs which maintain and control the certification of employees. The standard four maintenance modules and one reporting module let you add, change, delete, view, and report on employee certificates.
This single certification menu was designed with the flexibility to enter a wide range of certificates for teaching and non-teaching staff. Certificate type and class codes let you group 'like' certificates together to make certificate reports extremely valuable.
Information that can be stored on each certificate includes employee, certificate code, awarding institution, certificate number, issue and expiry dates, verifier, verification date, comment, limitations, and up to ten majors and ten minors.
The certification report lets you extract records based on issue date, expiry date, verification date, certificate type, certificate class, certificate code, institution, majors, and minors. A vast variety of sort options lets you view certificate information in almost every sort order imaginable.
To use the certification sub system, you must create the database items below.

The key to using the certification sub system is the use of certificate type and certificate class codes. The codes allow you to enter a wide variety of certificates through one standard screen. Teaching certificates, first aid certificates, diplomas, degrees, masters, and doctorates can all be entered into the same screen yet extracted individually by like types through proper use of certificate type and class codes.
Certificate type codes are used to broadly group like certificates together. Possible certificate type codes may include personal training and certificates. Certificate class codes are used to more specifically group like certificates together. Certificate class codes may include diploma, degree, masters, and doctorate. The final level of definition is the certificate code itself. Each certificate code ties back to its corresponding class and type code. When entering certificates, the only one of the three codes you have to worry about is the certificate code. The other two codes are known from the certificate code definition.
Once these 3 database items are defined, you can extract information from the certificate file in a way that will produce for you extremely useful reports. Below is a table showing possible relationships between certificate types, classes, and codes.
Certificate Type Code Certificate Class Code Certificate Code
Post Sec Training Diploma CIS
BUS
Degree BA
BSC
Masters MBA
MBSC
Doctorate
Certificate Teaching certificate Professional
Standard
Letter
First Aid Certificate Industrial 1
Industrial 2
Based on the above relationships you can extract all employees having a certificate class code equal to Teaching Certificate to find all certified teachers. You can extract all employees having a certificate class code equal to First Aid Certificate or be more specific and specify a certificate code of Industrial 1. Be general by listing all employees with a certificate type code equal to Post Sec Training to find all employees with any level of post secondary training. You can more specific by specifying a certificate class code of Degree or even more specific by specifying a certificate code of BSC.
By specifying any 3 levels of classification (type, class, and code) you can be general or specific in your report queries.
