T4/T4A Statement Print

The T4/T4A Statement Print option supplies you with a means of submitting your employee or laser employer T4 or T4A statements to be printed. When you select output to a printer, you must also be sure to select the correct FORM for that printer, for printing your T4's or T4A's. The FORM definition tells the printer how many lines make up one page. For example, the regular T4 form contains 33 lines per form so the printer form would be defined with a 33-line page.

The file name of the T4/T4A statements is:

FFORM#.Eyywhere # is the tax group and yy the last 2 digits of the taxation year for T4's.

AFORM#.Eyywhere # is the tax group and yy the last 2 digits of the taxation year, for T4A's.

The location of these statements is defined by the logical ATRIEVEERP$OPSWRK. This logical is setup in the LOCICALS.COM for each individual payroll.

Merged T4/T4A Statements Are Named:

FFORM####.Eyy where #### is the RP number and yy the last 2 digits of the taxation year for T4's.

AFORM####.Eyy where #### is the RP number and yy the last 2 digits of the taxation year, for T4A's.

The location of these statements is defined by the logical ATRIEVEERP$OPSMRG. This global logical is setup in the PRDLOGICALS.COM applicable to all payrolls.

Note: Output should be to a printer with the proper form attached for the T4/T4A. This option may be run to the screen for information purposes. You can also run to the screen and search for an individual's T4/T4A and print the selective page.

Print T4 Or T4A Statements 

  • Enter 'T4' to print T4 statements.
  • Enter 'T4A' to print T4A statements.

Print Employee Or Employer Statements

  • Enter 'E' to print the employees copy of the T4/T4A statements.
  • Enter 'R' to print the employer copy of the T4/T4A statements. The employer copy is not available when non laser (carbon copy) forms are used.

Print Regular Or Merge Statements

  • Enter 'R' to print the T4/T4A statements from the current payroll information.
  • Enter 'M' to print merged T4/T4A statements for a specific RP number.

When Print Regular T4/T4A was selected:

Select Tax Group to Print

  • Enter 6, 7 or 8 to specify the correct taxation number.

When Print Merged T4/T4A was selected:

Select RP Number to Print

  • Enter the applicable RP Number to print the T4/T4A.

Enter Taxation Year

Enter the applicable four-digit taxation year.

Print Regular, Amended or Cancelled Statements

  • Enter 'R' to print from the regular T4/T4A Statements.
  • Enter 'A' to print an Amended T4/T4A Statement.
  • Enter ā€˜C’ to print a Cancelled T4/T4A statement listing.  This document is for reference only and should not be distributed to employees.  CRA does not recognized a Cancelled statement in any format except the CRA XML file.

When 'A'mended statement was selected:

Enter Name Of Amended T4/T4A File

Automatically, all Amended T4/T4A print files for this tax group and tax year are displayed. You may scroll up and down to select the correct file.

Note: All of these forms may also be printed external from the Payroll system if necessary. In order to print a form from a specific payroll, enter that payroll's menu to setup the correct logicals for the payroll, and then exit the ATRIEVEERP system down to the '$' prompt. 

Type in:

PRINT

ATRIEVEERP$OPSWRK:AM_###_FFORM#.Eyy/QUEUE=printer_name/FORM=form_name

Or

PRINT

ATRIEVEERP$OPSMRG:AM_###_FFORM####.Eyy/QUEUE=printer_name/FORM=form_name

Where ### is the Amended number, where # is the tax group number, yy is the last two digits of the taxation year, printer_name is the name of the printer queue and form_name is the form name for that specific printer for the T4 or T4A's. The employer print file would be AM_###_FFORM#.Ryy. For merged T4/T4As #### is the RP number.

PRINT

ATRIEVEERP$OPSWRK:AM_###_FFORM#.Eyy/QUEUE=printer_name/FORM=form_name/PAGES=10

The addition of the '/PAGES=10' to the print command allows you to print just the first 10 pages of the statements. This may be useful in testing your print positions.

/PAGES=(5,10) - this prints pages 5 through to 10

/PAGES=(20,"") - this prints from page 20 to the end of the statements
