7. Calculate PA's: (Alberta, Saskatchewan, Manitoba Districts)
-
-
-
Review the Pension Adjustment Calculation Profile (3,4,11,7). Check that each field contains the correct values for the past calendar year.
-
Run the Pension Adjustment Calculation Process (3,4,11,8) in REPORT mode. Spot-check the PA values against the manual formula.
-
When you are satisfied with the values, rerun the process and select PROCESS. Make any required adjustments to individual PA calculations in Pension Adjustment Changes (3,4,11,2). These will be the values that will print in the Pension Adjustment box on the employee's T4.
-
-
NOTE: Pension Adjustment Import Process (3,4,11,12) can also be used to import calculated PA amounts from a coma separted or tab delimited file.
BC Districts: Upload your Superannuation pension adjustment file by running the BC Pension Adjustment Upload (3,4,11,9).
8. Generate T4's: Run the T4 Statement Creation . This process should only ever be processed once per year because each time this process is executed, you will wipe out the old T4 file for the respective tax year, along with any changes and create a brand new T4 file. Set your printer output to the SCREEN. Even if you are planning to merge your T4 files, you will still run this process from within each of your payrolls.
Once you have processed T4 Statement Creation, it is recommended that you test-print and/or test-email a T4 statement. Ensure all the necessary T4 information is printing on the T4; as well, ensure proper alignment of the values printed in each box.
NOTE: If, after test-printing a T4 you determine that a value is printing on the T4 statement but it out of alignment, simply go to the T4 Profile and adjust the print position, then run T4 regeneration to pick up the changes.
NOTE: If, after test-printing a T4 you determine that a certain value (Ex. OTHER 40) is NOT printing on the T4 statement at all, then go to the T4 Profile (3,4,6,1), define the missing value, and then re run T4 Statement Creation to pick up the addition of the new information to the T4 profile. Re running T4 Statement Creation will wipe out any manual changes that you make in T4 statement maintenance , and therefore, it is highly recommended that you test-print your T4s before making any manual adjustments.
If you are planning to merge your T4s please note that you still need to run the T4 Statement Creation process from within each payroll ID (Ex. Teacher, Subs/TOC, Support, Casual, etc.) to create the T4 file in each individual payroll and for each tax group. Afterwards, you will then run the T4 Merge Creation process to merge all of the individually created T4 files.
9. (OPTIONAL): Make any required adjustments to individual T4's through T4 Statement Maintenance .
10. After making changes to the T4 at the individual payroll level, run the T4 Statement Regeneration to update the print file with the changes you have made. If you need to make further PA adjustments at this point, make them through T4 Statement Maintenance, not PA Adjustment Changes. This is because PA values are only picked up when the T4/T4A Statement Creation processing is run.
NOTE: Adjustments made in this module are NOT tracked anywhere else in the payroll software. Therefore, make sure you have a paper-audit of the adjustments that you have made should you have to justify them at a later date.
