The User Defined Hire Dates Report is one of the most powerful and versatile reports in HR. It lets you define how the report is to look: what fields are to be displayed and in what order. You can choose to display most of the regular employee demographic fields as well as all of the user defined demographic fields.
You can select and report on some assignment fields. Multiple assignments can also be merged into a single merge record so create documents showing more than one assignment.
This report contains a comprehensive selection screen to allow you to specify which employees you want to view. The report can also be sorted in almost any order.
You can also define and save reports that you want to use repeatedly. This prevents you from having to re-specify the criteria each time you run the report.
If you have defined and saved a Report Selection Criteria Profile, you will see this prompt. Search for valid codes that can be entered. If you do not want to choose an existing report, specify your own criteria by leaving this field blank. Refer to HR manual for information on creating a Report Selection Criteria Profile.

Enter up to 10 termination reason codes. Only employees terminated for any of the specified reasons will appear. Search for valid termination reason codes. .
Hire Type Codes
Enter up to 10 hire type codes. Only employees with any of the specified hire type codes will display. Search to display valid hire type codes.
Current/All Hires
Enter 'C' to display just the current (most recent) hire record. This will result in one line per employee.
Enter 'A' to display all hire records. This will result in one line per hire record for each employee.
Current Hire Date
Enter a range of current hire dates. Only employees with current hire dates within this range will be displayed on this report.
Original Hire date
Enter a range of original hire dates. Only employees with original hire dates within this range will be displayed on this report.
Termination Date
Enter a range of termination dates. Only employees with termination dates within this range will be displayed on this report.
Continuing Hire Date
Enter a range of continuing hire dates. Only employees with continuing hire dates within this range will display on this report.
Substitute/Casual Date
Enter a range of substitute/casual hire dates. Only employees with substitute/casual hire dates within this range will display on this report.
Contract Accepted Date
Enter a range of contract acceptance dates. Only employees with contract acceptance dates within this range will display on this report.
Last Transfer Date
Enter a range of last transfer dates. Only employees with last transfer dates within this range will display on this report.
TQS Date
Enter a range of TQS dates. Only employees with TQS dates within this range will display on this report.
Misc Prompt
Enter a range of miscellaneous hire dates. Only employees with miscellaneous hire dates within this range will display. The miscellaneous hire date is field 18 on the Employee Hiring Information Screen.
Other Hire Dates
There are nine other date range prompts on this report. They are the same nine dates that exist on the Employee Hiring Information Screen. These fields are customizable by you and vary from site to site. You can enter ranges in any of these prompts and thereby control what employees show up on this report.

Once you have selected what fields to display on the report, you will see the following screen:

Report Title
If you entered 'S' in the Current/All Hires/Assingments prompt you will need to move to the next screen which contains assignment selection prompts. Assignments will only be selected if the employee meets all of the selection criteria specifications from the first screen.
Date Selection Method
Enter 1 to select assignments based on a single asof date. Only assignments current as of the date specified will be selected.
Enter 2 to select assignment asof 2 different asof dates. This option is not currently functioning.
Enter 3 to select assignments asof a date range. Any assignment current during any part of the date range will be selected and displayed.
Enter 4 to select assignments based on their start and/or end dates. Any assignments that start or end during the specified date ranges will be selected.
Enter 5 to select assignments based on an asof date range and a timestamp range. Only assignments current during and part of the date range will be considered. If the asof date range criteria is met, the system will perform another check to see if any of the fields selected to be displayed have been added or modified within the timestamp date range. Only those assignments matching both criteria will display.
If you entered 1 to the above prompt, you will see the following:

Enter the asof date as (YY)YYMMDD. Only assignments current asof this date are selected.
If you entered 2 to the above prompt, you will see the following:

From Date
Enter a 'from' and 'to' date. Assignments current during any part of the date range specified will be selected.
To Date
Enter a 'from' and 'to' date. Assignments current during any part of the date range specified will be selected.
If you entered 4 to the above prompt, you will see the following:
Start Date
Enter a 'from' and 'to' date as (YY)YYMMDD. Assignments starting within this date range OR assignments ending within the following date range are selected.
End Date
Enter a 'from' and 'to' date as (YY)YYMMDD. Assignments ending within this date range OR assignments starting within the above date range are selected.

As Of Date Range
Enter a 'from' and 'to' date as (YY)YYMMDD. Assignments current during any part of the date range specified will be selected.
Timestamp Date Range
Enter a from and a to date as (YY)YYMMDD. This prompt works in conjunction with the above ASOF DATE RANGE prompt. Assignments that are current as of the ASOF DATE RANGE will ONLY be selected if one of the fields selected to appear on this report was created or changed within this timestamp range. For example, if an employee had 3 assignments that were current as of the AsOf Date Range specified and you had specified you want the employee name, assigned position and assigned location displayed. The assignments would only display if that employee's assignments' position or assigned location had been created (a new assignment had been added for that employee) or changed during the Timestamp Date Range.

Enter 'AND' to select employees that have all the specified subjects and levels.
Enter 'OR' to select employees that have any of the specified subjects and levels.
Note: The subjects and levels that you enter are paired up and treated as a set for selection purposes. For example, if you enter MATH and BAND as the subjects and SEC and JUN as the levels, the system searches for employees with secondary math and/or junior band.
Benefits
Enter 'Y' to select only those employees who are eligible for benefits.
Enter 'N' to select only those employees who are not eligible for benefits.
Enter 'B' to select employees regardless of their benefit status.
School Term
Enter 'Y' to select only those employee who work 10 months (school term).
Enter 'N' to select only those employee who work 12 months (non school term)
Enter 'B' to select employees regardless of school term status.
Cont/Temp/Both
Enter 'C' to select only continuing assignments (as defined on by the assignment type code database).
Enter 'T' to select only temporary assignments (as defined by the assignment type code database).
Enter 'B' to select both temporary and continuing assignments.

Enter 'Y' to include leave assignments (with the non-leave ones).

Number of Assignments Per Record
If you answered 'Y' to the prompt above, specify the maximum number of assignments to include on an assignment. Any assignments over and above the maximum specified will be rejected from the report/merge.
