Teaching Certificate Definition 

Extracted employees are those with a teaching certificate record with a certificate number. Teaching certificates are defined from HR Setup & Maintenance > Profiles > User Specific Parameters Profile – Field “Teaching Certificate Type/Class/Code”. 

Mapping your data to the MOE’s values 

Data mapping is the process of creating a cross reference between your data values and the MOE’s data values.   This allows each organization to define and maintain data that is important to them, but to also link that data between the 2 organizations.  For the EEP submissions, there are several tables that need to be mapped. The following section details the data elements that need to be mapped, and how to do the mapping. 

 

Locations 

In Saskatchewan, as in all regions, school districts and schools have a ministry designated code.    In Saskatchewan, this code is 7 digits in length, with the 1st 3 digits designating the school district and the last 4 digits designating the location.    

 

To set up the cross-reference between the Atrieve location codes and the MOE location codes, we use translation tables to set up the mapping.   This can be found in Atrieve HR > HR Setup & Maintenance > Setup Tables > Translation Location. Location Code is your HR Location and New Code is the Ministry designated code. 

 

Position Codes 

The MOE has established a specific set of position codes, and any time we report a position for an employee, we need to report the position code as designated by the MOE.   Like the locations, we use translation tables to set up the mapping. This can be found in Atrieve HR > HR Setup & Maintenance > Setup Tables > Translation Position. Position Code is your HR Position Code and New Code is the Ministry designated code. Refer to Appendix C – Employment Position Code Values

 

Assignment Types (Contract Types) 

The MOE has established a specific set of Contract Types, and as with the Locations and Positions, any time this information is submitted for an employee, we need to report the value as designated by the MOE.   In Atrieve HR, the Assignment Type is the data that indicates the Contract Type.  The translation tables are set up to create the mapping. 

 

This can be found in Atrieve HR > HR Setup & Maintenance > Setup Tables > Translation Assignment Type. Assignment Type Code is your HR Assignment Type Code and New Code is the Ministry designated code. Refer to Appendix G – Assignment Type to MOE Contract Type

Assignment End (Separation) Reason 

The previous version of the Atrieve EEP Extract leveraged a variety of logic to map this data. Since that version was created, a new field has become available and is now used for this version of the EEP Extract. 

 

The MOE has established a specific set of Separation Reasons, and as with the Locations and Positions, any time this information is submitted for an employee, we need to report the value as designated by the MOE.   In Atrieve HR, the Assignment End Reason, found on the applicable assignment which has ended, is the data that indicates the Separation Reason.  The translation tables are set up to create the mapping. 

 

Translation Reasons can be set up from Atrieve HR > HR Setup & Maintenance > Setup Tables > Assignment Ending Reason. These reasons can be applied to assignments as they end to track the reason for the assignment ending. Examples could be Resigned, Retired, Temporary Contract Ended, Illness, etc. Keeping in mind that they should be granular enough to be able to map to MOE code values. 

 

The MOE code values can be mapped from Atrieve HR > HR Setup & Maintenance > Setup Tables > Translation Assignment Ending Reason. Assignment End Reason is your HR Code and New Code is the Ministry designated code. Refer to Appendix F – Assignment Ending Reason to MOE Separation Reason

Bargaining Unit (Affiliation) 

The previous version of the Atrieve EEP Extract hard-coded mapping for bargaining unit. We have moved this to user-facing translation tables. 

 

The MOE has established a specific set of Affiliation Codes to align with Bargaining Units. The translation tables are set up to create the mapping. 

 

The MOE code values can be mapped from Atrieve HR > HR Setup & Maintenance > Setup Tables > Bargaining Unit. Assignment End Reason is your HR Code and New Code is the Ministry designated code. Refer to Appendix E – Bargaining Unit to MOE Affiliation Translation Table
