The LOCATION FTE REPORT (1201) is written specifically for the Surrey School District. It is customized because it assumes that the position and FTE allocation codes are identical. In other words, for every position that exists in the position code database, there exists an identical FTE allocation code.
This report is really three reports in one. There is a detail report by location, a summary report by location and a summary report by position. Each report shows the budgeted (allocated) hours/FTE, the current hours/FTE and the annual hours/FTE.
The budgeted hours/FTE are taken from the FTE allocation data that has been entered for each location. The current hours/FTE is the total of each employee's total hours/FTE as of the required ASOF date entered. The annual hours/FTE is the total of each employee's total hours/FTE multiplied by the number of days in the assignment divided by the total number of days in the year. For example, if an employee had an FTE of 1.0 and worked 365 days out of a possible 365 days, his annual FTE would be calculated as 1.0 * (365/365) = 1.0. If another employee has an FTE of 0.5 and only worked 200 of the 365 total days, his annual FTE would be calculated as 0.5 * (200/365) = 0.2740. The system will also consider if the position is set to school term. If it is, then the total number of days in the year will not include the months of July and August. Weekends and holidays are included in the calculation (they are included in both the number of days worked and the total days in the year).
Reports To Generate
Enter '1' to create a detail report by location.
Enter '2' to create a summary report by location.
Enter '3' to create a summary report by position.
Year
Enter the school year that you want to report on. FTE Allocations are entered and kept for each year so you have to specify which year you want to use.
Teaching/Non-Teaching
Enter 'T' to report only teaching allocations.
Enter 'N' to report non-teaching allocations.
Location Type
Enter up to 10 Location Types. Employees that have eligible assignments at locations with matching location types will be considered for reporting. If no location types are entered, all assignments will be considered for reporting.
LOCATION
Enter up to 10 Location Codes. Employees that have eligible assignments at matching locations will be considered for reporting. If no locations are entered, all assignments will be considered for reporting.
POSITIONS
Enter up to 10 Positions. Employees that have eligible assignments with matching Positions will be considered for reporting. If no positions are entered, all assignments will be considered for reporting.
POSITION CATEGORY
Enter up to 10 Categories. Employees that have eligible assignments with matching Category codes will be considered for reporting. If no categories are entered, all assignments will be considered for reporting.
User Defined Fields
Each position has 4 user-defined fields. This report lets you select allocations and assignments based on these fields. Enter up to 10 values for each of the user-defined fields. Only allocations and assignments with positions that have matching respective user defined field values will be considered for reporting. If any of the user defined field values are not entered, then all assignments will be considered for reporting for that user defined field.
Include Leaves
Enter 'Y' to include leave assignments in addition to non-leave assignments on this report.
Enter 'N' to exclude leave assignments from this report.
Enter 'O' to only include leave assignments on this report.
Enter 'P' to include Paid leave assignments on the report.
Enter 'U' to include Unpaid leave assignments on the report.
Units/FTE/Hours
Enter 'U' to show the FTE/hours amounts in the units they were entered in.
Enter 'F' if you want the system to convert the entered units into FTE for the report.
Enter 'H' if you want the system to convert the entered units into hours for the report.
As Of Date
Enter a valid date in (YY)YYMMDD format. This date is used to calculate the current hours/FTE. Only assignments current as of this date will be considered 'current' and will be included for processing.
Annualized Date Range
Enter valid From and To dates in (YY)YYMMDD format for the date range to be used in the annualization of assigned hours/FTE. This date range will form the base that will determine how many days an employee should have worked. This range prompt gives you the ability to analyze the FTE data for any period. Since assigned FTE changes frequently over a period of time, it is useful to run this report for several date ranges. For example you can take a look at the entire year, a particular quarter or even a month to ensure that your budgeted hours/FTE are not being exceeded.

Enter 'R' to generate a report.
Enter 'M' to generate a mail merge or export file.
Report Sort
Enter 'L' to sort the report by Location and then Position.
Enter '1' to sort the report by Location and then by User Defined Field 1 and then by Position.
Enter '2' to sort the report by Location and then by User Defined Field 2 and then by Position.
Enter '3' to sort the report by Location and then by User Defined Field 3 and then by Position.
Enter '4' to sort the report by Location and then by User Defined Field 4 and then by Position.
