Load Entitlement Process

The Entitlement Load Process calculates and loads the entitlement amounts onto existing entitlement records. It will Not create new entitlement records. This process reads the table amount(s) on the employee's entitlement record, then calculates the entitlement based on the entitlement table found on each absence code. See the documentation under Entitlement Tables for more information on entitlement tables and how they are used.

NOTE: This process will not create new entitlement records for employees who do not already have them  for the specified year. You must first create the entitlements for the specified year through Entitlement Additions or the Entitlement Creation Process.

Year

  • Enter a valid range of years in YYYY format. Entitlements for the specified years will be calculated and loaded.

Employee Categories

  • Enter up to 10 Employee Categories. Entitlements for employees with matching Category codes will be considered for processing. If no categories are entered, entitlements for all employees will be considered for processing.

Demo Departments

  • Enter up to 10 Department Codes. Entitlements for employees with matching Department codes will be considered for processing. If no departments are entered, entitlements for all employees will be considered for processing.

Demo Bargaining Units

  • Enter up to 10 Bargaining Units. Entitlements for employees with matching Bargaining Units will be considered for processing. If no bargaining units are entered, entitlements for all employees will be considered for processing.

Demo Positions

  • Enter up to 10 Positions. Entitlements for employees with matching Positions will be considered for processing. If no positions are entered, entitlements for all employees will be considered for processing.

Demo Locations

  • Enter up to 10 Locations. Entitlements for employees with matching Locations will be considered for processing. If no locations are entered, entitlements for all employees will be considered for processing.

Absence Codes

  • Enter up to 10 absent codes. Entitlements for the matching absence codes will be considered for processing. If no absence codes are entered, entitlements for all absence codes will be considered for processing.

Pro-Rate According To Assignment

  • Enter 'Y' to pro-rate the number of days the employee is entitled to based on their current assigned FTE/Hours. As an example, an employee working 0.4 FTE will only be given 40% of the regular entitlement.

  • Enter 'N' to give the table entitlement amount to each employee regardless of their current assignment(s).

Assignment As Of Date

  • This prompt is enabled only if the answer to previous prompt is 'Y'.

  • Enter a valid 'as of' date for the employee assignments. Assignments that are current (active) as of this date will be considered in the calculation of employee FTE/Hours. Calculated FTE/Hours will be used to pro-rate the entitlements for the employees.

Include Only Employees With Benefits

  • Enter 'Y' to process only employees that are eligible for benefits according to their current assignment(s).

  • Enter 'N' to process employees regardless of the benefit status of their current assignment(s).

Report Only

  • Enter 'Y' to prepare a report showing the effects of this load process without updating the contents of the entitlements.

  • Enter 'N' to update the entitlement records with  proposed changes and to prepare a report of entitlement changes.

Report Sort

  • Enter the character associated with the sort order for the reported data.

Employee Sort

  • Enter A to sort employees alphabetically by Name.

  • Enter N to sort employees numerically by Employee Number.
