Detailed below is what must be done to ensure the employee is properly terminated in HR when an employee is leaving your district.
Three areas need to be addressed when terminating employees to ensure that the employee is properly terminated in HR. These areas can ALL be addressed by using the single Employee Termination screen.
-
Demographics – Employee Status Code
-
Hire File – Termination Date and Termination Reason
-
Assignments – Ending Date on Last Assignment
Enter the following:
-
Employee
-
Termination Date (last day worked)
-
Termination Reason
-
Termination Status
-
Date to Change Status (day after last day worked)
-
Close off any open assignments with the last day worked
-
If you enter the date to change the status as the current date, the termination will take place immediately.
The action detail process runs each night to determine when to terminate the employee. This allows you to setup future terminations at any time without having to manage them manually.
If a termination is not to take place after all and a terminate record was already created, use the Employee Untermination function to reactivate the employee.
Note: When you terminate an employee who has multiple open hire records the system is designed by default to ONLY add the Termination Date and Termination Reason to the most current record at the top of the list.
