Invoice Interface Processing Prompts

Choose the format that was defined in the Interface Profile Menu.

Enter Accounting Period

  • Enter the accounting period to receive the transactions from this interface batch. The accounting period specified will be used to create the batch header and to log all the transactions processed for this interface run.

Enter Directory # of Interface File

  • Enter the disk and directory name for the location of the return file. Example: DUA1:[BASLIVE] or a logical pointer such as BASDAT: where this pointer has been established as a logical in the user's log-in command file.

This must be the account location for both the invoice and the corresponding journal entry files for this interface.

Enter Batch Type to Interface

  • Enter the batch type code to be used in preparing the batch header for this interface. This batch code must exist in the atrieveFinance batch code file.

Enter I/E Interface File Name

  • Enter the name of the file containing the invoice details for this interface run.

Enter J/E Interface File Name

  • Enter the file name you have given to the journal entry records that provide the distribution information for the invoice interface file named above.

Enter The Default G/L For Errors

  • Enter the GL account where you will dump errors if invalid accounts are encountered during the interface.

Preliminary/Final Run

  • Enter 'P' to run a preliminary run. The preliminary run produces all the reports as a final run except that it does not actually update the atrieveFinance files loading the invoices. This can be used to give you an indication of errors and allow you to correct errors before you run the interface.

  • Enter 'F' for a final run. At the conclusion of the final run when the files have been updated, the program deletes the two interface files named for the run. This is done so you cannot accidentally run a second interface and update your files twice with the same data.
