Payroll Housecleaning  

The Payroll Housecleaning option allows you access to clean up a variety of temporary payroll files from a variety of locations related to the payroll. Clean up of payroll temporary files is broken down into categories of Payroll Stream including bank files, Pension submission files, Canada Saving Bonds, ROE Files and Miscellaneous files.

Only temporary files over a defined number of days are included in the housecleaning selection. Each category has a different time period for file retention.

  • Payroll Stream and Bank files over 3 months old

  • Pension files over 1 year old

  • Canada Saving Bond files over 1 year old

  • ROE files over 1 year old

  • Miscellaneous files over 1 week old

The Payroll Stream files include all cheques (PayYPP.CHQ), earning statements (PayYPP.EST) and bank (PayYPP.TAP) files currently existing on disk and allows you to delete them.  This feature does not apply to email/web earning statement files. These files will also confirm the Update has been completed for the related pay period.

Once a file category has been selected, the applicable files for the defined date will be displayed.

To select files for deletion, place the cursor on the desired file and click the Select icon. The file appears in bold indicating it has been selected for deletion. To deselect a file previously selected for deletion, again click the Select/Deselect icon.

To select all updated pay period files for deletion, click the Select All icon. To deselect all previously selected files for deletion click the Deselect All icon.

If you select a Payroll Stream file for deletion and that pay period has not been updated, a warning message will appear.

  • Click 'Y'es to select the file

  • 'N' if you do not want to select the file.

After selecting the files, you want to delete, click the Process icon. A message will appear requiring confirmation to delete the files.

  • Click 'Y'es to delete the files

  • 'N' if you do not want to delete the files.

NOTE - when the Payroll Update is run, there is an auto cleanup process that does remove selective unnecessary files. This auto cleanup is considerably more conservative in the number of years/months of retention criteria. Please refer to Payroll Update documentation for further details.
