Absence Deletions

The Absence Deletions module lets you delete absences and dispatches from the system.

Employee

  • Enter the number of the employee whose information you wish to delete. Search for employees by last name. Leave this blank and Enter to exit. Once you have entered a valid employee number, all absences for the employee will be loaded. Move the cursor with the arrows to the one you want to delete and Enter.

  • Once the absence and/or dispatch is loaded onto the screen, the following prompt appears at the bottom.

Delete Record? [A/R/B/N]

  • Enter 'A' to delete only the absence.

  • Enter 'R' to delete only the replacement (dispatch).

  • Enter 'B' to delete both the absence and the dispatch.

  • Enter 'N' to delete neither.

Automated Dispatch Features

  • The Absence/Dispatch Screen contains many features to simplify the interaction between this screen and the Automated Dispatching system. These features become apparent in the following situations.

Deleting a Dispatch

  • If you manually delete a dispatch, you will see a window similar to the following:

  • If you enter 'Y' Automated Dispatch will call the replacement employee about the dispatch cancellation.

  • If you try to delete a dispatch when Automated Dispatch is geared up to call the replacement employee about a closed dispatch, you will see the following:

  • When you Enter the Automated Dispatch queue record will be changed so that the replacement employee is called about the cancellation as opposed to the close.

Deleting a Dispatch - Improved Process

  • Instead of deleting from Absence Deletions, go to Absence/Dispatch Changes

  • Load the applicable record

  • Click Actions

  • Click Dispatch - Delete Replacement and Re-Dispatch

  • You will be prompted to:

    • Delete the current replacement and re-dispatch

      • This option will ask if the replacement employee should receive a cancellation call, then the subject/level info window will open in case changes are required for re-dispatch

    • Delete the current replacement only - no redispatch
