Add new functionality whereby certain locations do not have to complete the Daily Review in order to complete the Weekly Authorization of absence and dispatch records.

In Profile Maintenance (or Tabbed Profile Maintenance) under the AMW Heading (Tab), the new fields are as follows:

  1. List of locations that can approve weeks even though there are un-reviewed days (enter location number(s) separated by commas).

  2. Message to display if there are non-reviewed daily records (blank will suppress the message).

Leaving this field blank will suppress the message that would normally appear “Warning: Authorization will not be allowed because the following dates have not been reviewed: dates in the not reviewed list appear here".

You can customize the message if you would like one to display, but note the system will add the following to the end of the customized message – “:list of dates in the not reviewed list”

Fixed the issue with TaskRouter which was preventing access to tasks (that have been simultaneously routed two or more times) from being processed.

Added a new field to the ALL tab of Profile Maintenance that will consider each assignment individually (as long as they match the locations on the form) when deciding if it should do the position only matching. Prior to this change it would only do the position only matching if there were no supervisors found for any of the (form location) assignments.

Add “Not In” to the list of Conditional Routing operands.

Enhance SEW to allow a single schedule to be entered against multiple assignments.

Modify SEW to prevent schedule entry/changes for specified positions.

Modify SEW to allow schedule to be attached to 'merged' multiple assignments. Assignments will be visually merged together to present them as one to allow users to enter one schedule against multiple assignments.

Modified the assignment program to make sure the position in memory is correct at the time the schedule review task is being generated. If it’s not, the system will re-read/re-load the correct one.

Fix issue in SEW where history link not showing up in the right place if there is more than one location.

Telephone Audit Report has been changed to Add code that re-sets the CALL_COUNTED variable to 0 if the call had subsequent attempts to the same number (redials). Every time an attempt is made, the CALL_COUNTED variable will be set to zero and the call will be treated as a new call.

Bug Fix to send record to Manual Intervention as soon as it is logged if there is no replacement position defined, even if the absence indicates the replacement works different schedule.

HR Module – Replacement Employee Costing - In the Dispatch Search Parameter Profile Page 1, Field 8 - Day Pay Def - Enter the code word 'OFL' followed by a slash ('/') to tell the system to use the function line rate that matches the same occupation code as the dispatch position code. Alternatively, enter the code word 'OFR' followed by a slash ('/') to tell the system to use the function line rate that matches the same occupation code as the dispatch position code. If there is no matching occupation code, use the rate from the dispatch position code.

HR Module – Assignment Changes - Bug fix when an assignment record is created using the ‘PF1 X’ or ‘F1 X’ shortcut which created the record with no end date. When open ended assignments are created, the system places an end date of 99991231 on the record in the background so the record can still be searched on by the date indexes. When there is no end date on the record (not event he 99991231) the record will not be recognized by any program that utilizes date searches. Open ended assignments created now with the shortcut will have the 99991231 end date applied in the background.

The payroll you are accessing displays that payrolls statement in the top menu bar while the earning statement for the same period for the other payroll displays below.

Up to 3 additional statements can be displayed for the same pay period.

NOTE: It is recommended that the Earning Statement Profile (4,1,8) be adjusted to add a Literal field titled: TEACHER, SUPPORT, CASUAL, TTOC/SUBS, ADMIN, etc. to identify the pay id of the earning statement for each payroll. Thus, when the other statements are reviewed they can see which payroll’s statement they are viewing when they review the Other Payroll’s statements.

Timesheet Entry / Variable Deduction Entry

Enhanced the Lookup on the Batch Control Number field in Timesheet Entry and Variable Deduction Entry like Timesheet and Variable Deduction edit.

In the Batch Control Number field clicking the Lookup icon (or pressing Home key to FIND) will display all the existing batches for the current year available to be edited. The current year is defined based on the value of the Current Pay Period in the OPS Master Profile and if empty then the year from the system date.

Suspended batches do not display in the lookup but are still available for editing. Deleted batches display in the lookup but cannot be edited.

Maintained the ability to switch the FIND back to the old FIND by clicking on the Toggle Batch Lookup (or press PF1+T) which will toggle between batch or pay period lookup.

Clicking again will switch to the previous lookup.

Statutory Pay Generation

The Statutory Pay Calculation Process has been enhanced to accommodate the BC requirement for the employee to have worked 15 of the last 30 days to receive the average stat pay.

Prompts added:

Identify the last 30 days (Start and End Dates)

Identify the number of days the employee must work within those 30 days


Based on your response to your prompt dates, the system looks for the dates from that date range, counts the total number of hours, divides the total by the dates paid, to get the average day paid.

The Reports generated by the Stat Pay Calculation are:

  • This process creates 3 reports and a log:

    • The 0.LST = The report listing employees within the batch

    • The R.LST = The report listing the rejected employees

    • The E.LST = The report listing the excluded employees and why they were   excluded

  • List the employee, start date identified and all other timesheet details including: occupation, shift and GL

  • The Process report is archived in the Pay Report Output Review menu

  • Enhanced sort options now available by Location Code, Name or Date. Simply click on the applicable arrows to control sort.

  • The TSW Profile has been enhanced to control the default settings for Timesheet Management Viewing.

    You now have the option to set the default to be:

    1. Authorized, U- Unauthorized or B – Both

  • Allow employees to enter & supervisors to authorize future timesheets.

    • Opening Date Comparison block for timesheet entry: This prompt allows the employees to enter future timesheets when set to ‘Y’

    • Number of weeks in advance to allow authorization: This prompt allows the Authorizer to authorize future timesheets. 

  • When looking in Timesheet Management Location Selection, you are now able to opt for which option you would prefer for your default – View Authorized, View Unauthorized, View Both. Select by clicking in the radio button next to the option of default choice.

  • An Email Supervisor Button has been added to the employee timesheet entry. If the employee makes any changes to their timesheet, they are able to email their supervisor directly. This picks up the email address for the principal listed for the Location. The employee is then able to add a message to the email.

  • The Alberta Pension Profile has ahad a third screen added to the TRF Profile which allows you to define a TRF status code followed by one or more pay codes. This information is used to create a second record/separate line for these codes and status’s in the TRF Extract. When time is paid with one of the specified pay codes a second record will be created with the corresponding status code.

  • ATRF History Maintenance: “P” Type Records can be adjusted.

    Previously you have not been able to change a P type record TRF history record. We have now given you the ability to do so. When modifying the “P” Type record you will receive the following prompt.

  • A Delete Option has been added to the TRF History Maintenance.

    “U” Type records can now be deleted. P and C type Records cannot be deleted.

  • LAPP APEX Maintenance: The ‘NEXT’ button has been added to the LAPP APEX Maintenance, so you can select the Next employee instead of exiting and selecting the menu again.

Manitoba Pension Profile

Profile has been restructured and revised to accommodate the changes to the TRAF pension calculations effective September 2016, while still maintaining previous functionality allowing current calculation methods to continue to be used until that time.  Profile is now 2 pages.

Field 06= NUMBER OF ALTERNATE DAYS / EMP TYPE       [ET=##/]

The Number of Alternate Days are to be used as an override to the default Teaching Days To Report as well as the Working Days per payroll calendar for a unique group of employees, such as Administrators. The Employee Type code must be defined on the employee’s master function line. This alternate number of Days definition allows for multiple teaching days to be defined within the payroll and used in all TRAF process where the teaching days apply. This includes the TRAF report and the PERDAY TRAF deduction calculation, when applicable.

Enter an Employee Type code followed by the equal sign and the number of Alternate Teaching Days for the school year for an override to a select employee group. Select the Alternate Days Details icon (in atrieve) or enter <F1>D to access the Alternate Working Days Detail definitions. Access to the Alternate Days details is automatic when changes to the Number of Alternate Days line has been made.

Field 13=COMPLIANCE SUBS PAY CODES is now titled SUBSTITUTE SERVICE PAY CODES       

Enter all pay codes that make up Substitute pensionable earnings.  The Substitute earnings will be reported as Complaint, service code 077 when the TRAF deduction has been taken and Non-Complaint, service code 123, when no TRAF deduction was taken. 

New Field 14= NON-SERVICABLE PENSION EARNINGS. 

Enter all pay codes to define the Non-Serviceable Pension Earnings (NSPE). 

Field 15 changed to = TRAF DOCKING DAYS PAY CODES   [##,##,]

For use with September 2016 ‘days paid per month’ calculation method:  Enter the pay codes that define docking days to reduce the calendar working days in the calculation of the TRAF Per Day deduction formula.  The TRAF Per Day deduction amount will be calculated as usual but then the total days from this list of pay codes will be added to the employees working days after the working days have been reduced by FTE. The time entered on these pay codes would be at the employee’s reduced FTE and a negative value to reduce days.

Profile page 2, Field 16 is now RETRO EARNINGS pay code list.

Manitoba Pension - TRAF

Effective September 2016, the method of deducting TRAF contributions is changing to a ‘days paid per month’ basis.  Under this new method, TRAF contributions are calculated based on the annual pensionable salary and pensionable days paid per month.  Although this new deduction formula is mandatory as of September 2016, SRB previously released the TRAF changes last September 2015 to give boards the opportunity to test the new TRAF calculations before September 2016.

The TRAF deduction changes apply to only Group 1 Type 8 deductions.  The following is an example of the new per day TRAF setup with the September 2015 values.

Note:

  1. The STEP line is defined using annual values.

  2. The code word of PERDAY is defined in the 7th position of the EXTRA line.

Enhanced to handle pulling in lump sum retro allowance amounts to be included with the retro salary for timesheet creation but also to be included in Daily rate and creation of variable deductions for Teacher pension adjusting entries.  Batches will be automatically closed. 

Added creation of timesheet and variable for Terminated/On Leave employees based on User Specific Parameters field 63=ALLOW TIMESHEET/RETRO FOR INACTIVES for Saskatchewan retro also.

Pay Code Database Changes

Pay Code database field 12=HOURS PENSIONABLE when set to ‘Y’es the time from this pay code will be treated as pensionable time for the purpose of calculating pension deductions, and will be reported as pensionable time for pension service. 

When set to ‘N’o the time is not pensionable.  This enhancement allows timesheet entries to contain a unit of time multiplied by a rate, without affecting the teacher pension days in error.  This is helpful when using Timesheet Entry Web where ‘M’oney only pay codes cannot be used.

Important!  Saskatchewan payrolls MUST review the pay code settings in all payrolls to ensure that the HOURS PENSIONABLE [Y/N] field has been correctly set on all pay codes as this will now effect your pension service and therefore the pension calculations as well.

BC Pension Plan Report Creation

Added the RT (Retro) and RH (Rehab) records to the extract.

BC Pension Global Contributory Service.


For employees working in two payrolls, there is now a global contributory service so that employees cannot have more than 1 month reported for 1 month of work.

Once the Global Pension Report has been built, you can find their contributory months in the Global Pension Record Changes.

For each month that an employee shows as having worked, there is a 1 placed underneath. There is a limit of 1 per month, so their contributory service can’t be overstated.

Changed 3,1,2 Pension Credit Report for the printing of the vacation percent from .6667 to 66.67% or .66 as 67%

BUMP UP PENSION CREDIT BY VACATION PERCENT - you must answer 'Y'es then you will be prompted for the pay codes that represent vacation. The employee's vacation earnings per pay period is reported separately under the ELIGIBLE earnings and under the pension CREDIT the vacation percentage will print.

515.20 (vacation money) / (1288.00 - 515.20) = .6666 or 67%

Pension Adjustment Export Process

The Pension Adjustment Export Process may be used to report or export the current PA record contents for one or multiple income tax deduction per taxation year. The export files generated by this process is created in the same format as used by the Pension Adjustment Import Process. This allows you to export the current PA Amount, make any adjustments as needed and import the values back into the payroll.

The export file includes the following fields:

  • Employee number

  • Employee name

  • Taxation year

  • Employee’s Income Tax Code

  • Employee’s PA amount

Pension Adjustment Import Process

The Pension Adjustment Import Process upload option is used to load PA entries into the Payroll from a coma or tab delimited file. This process can be used to add to or override existing PA Amount from the exported values. This process will create a new PA record for the tax year and deduction code when one does not yet exist.

Any rejected entries will be listed on a separate error/rejection listing along with the reason for the rejection. Each rejected entry includes a record number of the error. This number refers to the record number of the import file, providing a way for you to identify the invalid record. This rejection report is listed following the regular report.

The import file must contain the following fields:

  • Employee number

  • Employee name

  • Taxation year, override to default entered at run time

  • Income Tax Code for PA Amount, will default to employee’s first income tax deduction if empty

  • Employee’s PA Amount

    • This program allows you to archive earning statements freeing up disk space and speeding up the processing time of your software.

    • This process blocks the removing of 3 years or newer statements

    • This process requires a new location and SRB$OPSARC logical

    • The EARNING STATEMENT ARCHIVE PROCESS allows for Earning Statement files, for a chosen year, to be removed while retaining the employee’s last statement for that given year. 

      Two payroll Earning Statement files are created per employee per pay period, one text file and one PDF file. This generates a large number of files per year. This feature is design to significantly reduce the number of files maintained on the system while retaining the employee’s statement containing the year to date totals.

      This option does include the option to archive the Earning Statement file before removal, although the archive feature does not recover the disk space used up by the old Earning Statements.

      The archiving portion of this process requires the logical SRB$OPSARC: be defined with a location separated from the SRB$OPSEARN location.

General Enhancements

  • Added Upload Button to All Interface Processing Screens. This new feature, only available in the new atrieve version, provides the ability to search and select files directly from your C: Drive or network folders eliminating the need for a File Transfer Program (FTP) to transfer files for uploading. When at the Enter Source Location prompt, click on ‘File Upload’.

  • Added File Download Option to Retrieve Cheque File (for 3rd Party Printing)

    This new feature found under Accounts Payable>Retrieve Cheque File (for 3rd party printing) provides the ability to download the cheque files to be used for import into a 3rd party cheque printing system/software. The files can be downloaded directly to your C: Drive or network folders eliminating the need for a File Transfer Program (FTP) to transfer files. Select the cheque file to retrieve (download) and click on the ‘Retrieve’ icon.

  • PO Entry - For US Vendors Add ‘US Funds’ in the Total Line

    A new PO Print field: W-US_FUNDS$ will print "US Funds" for vendors when Field #15=Foreign Exchange Code is set to 'US'. The new PO Print Field W-US_FUNDS$ can be applied to the Purchase Order Detail Print Parameters in atrievePurchasing>Setup and Maintenance>Detail Print Format to the Order Total Parameters screen.

  • Invoice Deletions (BAS 2,1) - Warning when an invoice is being deleted in a different batch than it was entered

    This warning message will assist those customers that are have interfund accounting enabled to check that the invoice being deleted is processed with the correct batch or batch type code, this will ensure that the interfund entries post correctly.

    Note – this is an information or warning message only, invoices do not have to be deleted in the same batch that they were entered.

  • Invoice Entry (BAS 2,1) - Invoice Template Delete

    The Invoice Template feature in invoice entry has now been enhanced to include the template delete option.

    From Invoice Entry, click on the TPL to load the Invoice Template screen. Select the template and then the ‘Delete’ icon or Alt ‘D’. The Template Delete screen will load outlining details of the original template creation. Select the ‘Delete Template’ icon to delete the template, the system will check to ensure that you own the template before completing the deletion. 

  • Invoice Entry – WCB Flag Y/N Added to Screen

    The Release 2015-1 featured a Workers Compensation Board (WCB) Flag field on the invoice entry screen allowing the ability to flag invoices as WCB reportable. To activate the WCB [Y/N] option within invoice entry, go to Setup and Maintenance>Profiles>User Profile>Field 69 Enable WCB in Invoice Entry [Y/N] = Y.  The vendor must have a value entered in Field 16=Tax Registration No (typically the Social Insurance Number).  Release 16-01-01 now provides a WCB [Y/N] field on the vendor record that will auto default the WCB [Y/N] field on the invoice entry screen based on this setting. The WCB [Y/N] field can be changed after entry from Invoice Changes or Invoice Changes – Closed Invoices if the invoice is already paid & closed.

    The Invoice Inquiry screen will display the WCB reportable status of the invoice.

  • Invoice Scan Sheet – Added Option to View PDF or Email Report

    The A/P Invoice Scan Sheet was previously sent directly to email without a view option. We have enhanced this screen to now allow you to Email or open a PDF document of the invoice scan sheet with bar codes.

    Note – option only enabled with Document Storage Solution (DSS) License.

  • Issued Cheque Report (BAS 9,9) - Added Column Names for Invoice Amount & Cheque Amount

  • Buyer Processing – Convert Requisition to PO – Apply PST Tax Code

    This new enhancement will now auto apply the GL account default GST tax code along with the PST Tax Code on all lines of the PO during Buyer Processing.

  • Invoice Additions (MAR 5,1,1) – New Customer Additions Icon

    The new customer additions icon now allows entry of a new customer on the fly and will automatically return the newly created customer number.

  • Invoice Additions (MAR 5,1,1) – Detail Screen - Display Customer and Invoice #

    Addition of the customer number, customer name and invoice number now display on the detail line viewing screen for easy reference.

  • Invoice Inquiry (MAR 5,1,4) - Receivable Group ALL Option

    Added ability to search by ALL receivable group codes by a specific customer or invoice number.

  • Account Inquiry (MAR 4,3) - Display History in Newest to Oldest Order

    Account inquiry screen now displays the transaction detail in date order with most recent dates appearing on top.

General Enhancements

  • Monthly Depreciation

    New functionality has been added for monthly depreciation as an additional option to the current annual depreciation processing. This new functionality is invoked during Depreciation Processing by defining the Calculate up to Period.

    Note: Please consult with SRB if you would like to transition from annual to monthly depreciation processing.

  • Treatment Method of Depreciation in First Year of Ownership

    The Depreciation Class Code now allows you to define the treatment or when the asset should start depreciating. The treatment is defined under Setup and Maintenance>Database Menu>Depreciation Class.

  • Depreciation Processing Auto-Interface into atrieveFinance

    This new feature now allows you to directly interface the depreciation transactions into atrieveFinance and eliminates the need for a journal entry interface profile.

    • The Report or Update [R/P] options will result in the following: Report - will allow you to run in report mode only, this process will run in preliminary mode only and will provide a report on the results only, it will not post entries into atrieveFinance. Update –will also prompt you for Create Account Interface – Warning**you must enter ‘Yes’ here to create an interface file and auto post the journal entries into atrieveFinance.  Selecting ‘No’ will run the depreciation calculation but will not create the journal entries.  If you prefer to summarize, you could run this process with an answer of ‘No’ to get the totals and create a manual journal entry. If ‘No’ was selected as the update option the name of the interface file created is FAIN01.####  (where #### represents the depreciation year).  Example of this year’s file will be FAIN01.2015. The file FAIN01.#### resides in the SRB$FASDAT0: directory and will be required to run the JE interface manually.

Two new profiles have been added to Requisition Web that now allows you to select if the product name, product description or both should load from the catalogue. The option selected will impact the description field on the requisition and will be the description that prints on the purchase order.

Display non-LRS Requisition Line Description by Name, Description or Both (N/D/B): Default/blank is D

Display LRS Requisition Line Description by Name, Description or Both (N/D/B): Default/blank is N

Locations Can be Entered by Product License Reference

The system will behave in the following way:

NO OVERIDE = HR assignment location will dictate location access

YES OVERIDE = With an override, locations can be entered by product: (TEW=0021|0043), (BMW=0001|0002). If a product is not explicitly listed but is available, the location reference will be pulled from the HR Assignment(s).

If the assigned location needs to be overridden by default, entries can be made at the beginning of the string: 0001,(TEW=0021)

If there is a location listed at the beginning of the override string, it will become the default and the HR location assignment(s) will be ignored. Other product references will be overridden accordingly.

Security Builder

Employees Can Become Authorizers by Product License Reference

The Authorizer feature in Security Builder can be used to override the AUTHORIZER field in HR>10,1,5, field 38.

Authorizer ability is only overwritten if the ‘second’ authorizer box is checked. If the ‘second’ Box is checked, the override will allow authorization ability for the licensed products, as indicated.

The system will behave in the following way:

Security Checkpoint 2A looks for selection in the existing ‘radio-box,’ if one exists then the employee will have full authorizer access to the modules available.

Authorizer access can now be limited by entering  a module/product/license reference (RQW, TEW, AMW).

Products will need to be listed using upper case letters (TEW) and separated with commas. There is no validation that occurs in the program, so be careful with entry.

Ignore PRM Assignment Authorizer Location - Profile setting options (N/Y/O):

N=Default to employee's auth loc (defaults to employee's assigned location in the absence of an auth loc), when location override is blank. Show PRM Assignment and Auth Locs in location override.

Y= Default to employee's assigned location only, when location override blank.  Ignore PRM Auth Locations whether part of location override or not.

O=Default to employee's assigned location only, when location override is blank.  Show PRM Assignment and Auth Locs if location override exists
