The Evaluation Menu gives you access to programs which maintain and control the employee evaluations. The standard four maintenance modules and reporting modules let you add, change, delete, view, and report on employee evaluations.
The evaluation system is designed to be used for all types of employees and evaluation types from teacher's reports on staff to non-teaching performance monitoring. The system not only focuses on tracking who should have evaluations and when, but also provides an elaborate system of tracking when notification forms should be sent to employees or supervisors for upcoming evaluations. The system also lets you track the outcome of evaluations and provides a comprehensive evaluation report to extract needed information. Information that can be stored on each evaluation includes employee, position, assignment start date, evaluation code, location, required date, completion date, completion code, completed by, supervisor, comment, and three sets of dates for 1st, 2nd, and Final notifications due and sent.
The primary evaluation report lets you select evaluation records by position start date, required date, completion date, notification due and sent dates, employee category, department, bargaining units, position, location, evaluation type, completion code, supervisor, and completed by. This report also provides sorting capabilities by employee, employee category, department, bargaining unit, position code, evaluation location, completion code, evaluation type code, completion date, required date and demographics location.
The evaluation screen is linked directly to the creation of Individual Employee Notification forms. The creation of the notification form is automatic when you are in Evaluation Additions if evaluation code's field Personal Notification Forms is set to 'Y'.
The system assumes that evaluation records will be created for employees before the time of the evaluation. Once the evaluation exists in the system, you can modify it as necessary to fill in additional information such as completed date, completion code, completed by and so on. Based on this assumption, the system will ask you as you leave Evaluation Changes whether or not you would like to create a new evaluation for the same employee. If you respond affirmatively the system will put you in Additions so you can add a new record, and then return you to Changes. This is very practical assuming you most often go into Evaluation Changes to enter the completion information, and then want to create a new evaluation record for the same employee for the next time an evaluation is required. You can control whether or not the system prompts you if you want to create a new evaluation with field Create New Evaluation From Changes in the User Specified Parameters Profile.
The system also gives you the ability of creating two evaluations each time you go into Evaluation Additions. (Valuable if evaluations are usually created in sets of two.) This feature will only work if you set up 3 fields correctly on the evaluation code.
