Employee Location Additions

The Employee Locations Additions screen lets you enter new location/schedule records for employees if you are using EAM. This screen lets you enter where an employee works, and on what days.

Because the locations and/or schedules of employees often change, you are able to enter and store a history of locations and schedules. Each record has a start date, the number of weeks the schedule repeats, and a pattern of days for each week. Each schedule is assumed to continue until another schedule with the same location begins.

This screen also allows you to specify job share partners of this employee. This information is used in the Replacement Employee Costing Module to determine what job share partners should be paid when they sub for each other.

Employee

  • Enter the number of the employee to add location(s) and schedule(s) for use in EAM. Search for an employee by last name.

Location

  • Enter the number of the location the specified employee works at. Search to view a list of valid locations in your system.

Emp Name

  • Enter the name of the employee. This name will be loaded from the Interlink file as a default.

Position

  • Enter the position this employee works at. Search to view a list of valid positions. This position is not currently used in the system.

Job Share Partner(s)

  • Enter the employee number of the specified employee's job share partner. This information is used in the Replacement Employee Costing Module to determine how to pay job share partners.

Start Date

  • Enter the date that the job share partner begins working with the specified employee. Dates must be entered as (YY)YYMMDD and must be Monday. If you enter a day other than Monday, the system will modify the date to the Monday previous to the date you entered.

End Date

  • Enter the date ((YY)YYMMDD) of the last day the job share partner works with the specified employee.

Schedule Starting Date

  • Enter the date ((YY)YYMMDD) the below schedule begins. This date that determines the history of schedules. The previous schedule ends when the next one at the same school begins.

Schedule Weeks To Repeat

  • Enter the number of weeks it takes the below schedule to repeat. Most schedules are the same week after week. If so enter 1. If you have a schedule where an employee works Monday, Wednesday, Friday the first week, Tuesday and Thursday the second week, then Monday, Wednesday, Friday again etc, this schedule would repeat every 2 weeks.

Week 1-10 (mtwtfss)

  • Enter the schedule for each of the weeks it takes to repeat. The schedules have a heading of 'MTWTFSS'. Place an 'X' under each day of the week the employee works.

  • If an employee works Monday, Wednesday, Friday the first week, and Tuesday and Thursday the second week enter the following:

Field To Change/Add/Cha/Del

  • Enter the number of the field to change. Enter to save the information and exit.

  • Enter 'ADD' to save the current schedule and enter another one.

  • Enter 'CHA' to display a window of the schedule history. Move the cursor to the one you want to change by using the Up and Down arrows.

  • Enter 'DEL' to delete the current schedule being displayed.
