The following steps will guide you through the process of creating a new teacher role with the following access:

Create a Role

From the Roles menu, use your mouse to click on 'Add Record' and the description box will pop up. Enter a Role Code and Name (max 10 characters). This is the Role Code that you will need to add to the atrieveHR Role Code Database. The Role code defined for each must be identical, however, the descriptions can be different. For this example, the TEAC Role Code has been created on both Security Builder and atrieveHR.

NOTE: You cannot rename the code of a Role once it has been saved. You must delete it and re-create it.

Once created, the Role Code is assigned to Positions and/or Categories within HR.

For Positions, atrieveHR Position Code Database: Role field

For Categories, atrieveHR in HR Employee Category Database: Role Field

As explained under the Security Overview, an employee can be assigned a Category code, a Position code or both.

Priority will be given first to a Role assigned to an override, second to the Position code and third to the Category code.

Next, click 'Add new record' to define a View for the Role:

Next, use the View drop-down menu to select a View that you previously created. If you would like to rename the

view, use the optional Rename View field. For this example, we will select the SIW_Teacher View and press Update to save.

Once the View has been added, press Save to update the Role:
Add GL Security to a Role

GL Security can be added to a Role in Security Builder, so that everyone who is assigned that role will have the GL Security definition assigned to it. To add GL Security to a Role, use the GL Security drop-down menu to select a GL Security level

Note: GL Security, full or limited, is required for access to any of the Finance modules.
Our Teacher Role example does not have any access to financial information; therefore, a GL security template is not required. For a role that would require GL Security, simply select a level from the GL Security drop-down menu and press save.
