The Print User Defined Reports option provides access to your user-defined reports and macros so that you can run them to produce financial information whenever needed. The system presents a menu of your reports.
Once a report has been created, it is ready to be run or re-run as required by the user. The user is responsible for:

Selecting the specific report

Determining the accounting period that is to be used for generating the report

Establishing any special comments to go on the report title area

Establishing level breaks and/or criteria related to the specific running of the report
User Defined Report Selection
The User Defined Report Selection screen displays a list of all previously defined reports in the system. If a report has an asterisk (*) in the Macro column it indicates the report is actually a link to a group of other reports that can be run all at one time in Print User Defined Reports. The group of other reports related to the macro will be displayed in a window at the bottom of the screen.
Click Cancel to exit the program.
If you wish to work with macros, click Macro to proceed to the User Defined Report Macro Selection.
User Defined Report Macro Selection
The User Defined Report Macro Selection screen displays a list of all previously defined macros in the system. The group of reports that make up the macro currently highlighted by the cursor will display in the window at the bottom of the screen.

Click Back to return to the User Defined Report Selection screen. |

Click Add to create a new macro. |

Click Change to modify the macro currently highlighted by the cursor. |

Click Inquire to view the macro currently highlighted by the cursor. |

Click Delete to delete the macro currently highlighted by the cursor. |

Click Quick to create and use a one time macro. |
User Defined Macro Maintenance
A list of all reports in the system will display. This list will not include any macros as you are not allowed to define a macro that points to another macro. You can select a maximum of 36 reports in one macro.

Accept |
Click Accept to save the macro you have just entered. You will proceed to the User Defined Macro Save screen. If you created the macro in Quick mode you will proceed to the macro run screen where you will be prompted for your run options. |

Cancel |
Click Cancel to return to the User Defined Macro Selection screen without saving the macro. |
User Defined Macro Save
Macro Number

Enter a unique number for the macro. For ease in locating the macros later, you may wish to use a numbering standard that places all your macros in one group of numbers (e.g.: 900 to 999). <Enter> to return to the User Defined Macro Maintenance screen.
Description

Enter the description of the macro.
Security
-
Security has not been implemented in this release.
Accept
Click Accept to save the macro.
Cancel
Click Cancel to return to the User Defined Macro Maintenance screen without saving the macro.
Modify
Click Modify to change the report number, description, or security field.
Enter the Period
-
Enter a valid accounting period for the report. If the report contains detailed journal entries and you did not specify a macro, the prompt will ask for a starting period.
Enter the Ending Period

This prompt will only appear if you did not select a macro and the report contains detailed journal entries. Enter a valid ending accounting period. Using this prompt allows you to access data from multiple periods and activates the start period report variables in the report writer field definitions.
Note: Some systems may not have this option because the site has asked to have the option disabled.
Enter the Title Comment

The value entered here, if any, will be printed on the report header according to the placement of the keyword Comment$. The default comment will be the period end date text from the atrieveFinance calendar database.
Simulate Month End

If you are running a single report (no macro) for a period which has not been closed (month end), you may wish to simulate a GL month end to present the accounting values as if the month end had been run.
Override Levels and/or Criteria

If you select a single report (no macro) you are given the option to override the levels and criteria originally set up for the report. Refer to the User Defined Report Level and Criteria Maintenance screen instructions explained earlier in the chapter. This is a run time option and does not alter the permanent settings stored in the report writer file.
Create an Export File

If you wish to create an export file, enter 'Y' and you will be prompted for a format.
Fixed/Comma/Tab Format
When using this option, you should select output to a disk file. Your file will be saved on disk using the 6 character job number from the upper right corner of the batch print queue panel. The file will have an extension of LST_nnn where the 'nnn' is the number of the report selected from the reports screen.

Enter 'F' for fixed field format.

Enter 'C' for comma delimited fields.

Enter 'T' for tab delimited fields.
Override Default 2-Sided Print

Enter 'Y' if you want the report writer to force additional page breaks so that Top of Page 'TP' will force the output to start on the front of a new page. Duplex printing will normally print on the front and back of each page with no special treatment for 'TP' commands.
Note:
To restrict access to specific User Defined Reports, the following symbol should be put into the login.com file in the users directory.
TSC$UDR: == "003, 004, 006, 012"
The numbers within the " " represent the reports the user can see and access.
