Event Additions

The Event Database Menu works in conjunction with Leave Management Web to allow you to enter events such as Professional Development so your employees can choose from a dropdown list, the Professional Development Events that are available to attend within the date range selected for the absence.

This database ties critical pieces together such as routing coordinator (person responsible for authorizing the leave request for the particular event), Replacement GL or Cost Center specific to the event, so minimal set up and routing is required in Leave Management Web to accomplish the same tasks.

Events can be further classified by Event Type Code which is used to further limit the events available for display for the absence/leave code chosen.

Event Name

Type a name for this event. This is what will display to employees the leave form drop-down menu.

Event Type

Enter a valid event type code. Search to view valid options. The event type code reflects the nature of the event and is a mandatory field.

Description

Enter the description of the event. This is an optional field and is free form text.

Event Id

Enter the Event ID (e.g. PD Place ID) that you would like associated with the specific event. The Event ID will display along with the Event Name in the dropdown choices available. This is an optional field and is freeform text.

Category List

Enter valid categories separated by a comma, that you would like the event to be visible for. This field is optional and if left empty, will display for all categories.

Start Date

Enter a valid Start Date of when you would like the Event to begin display. This field is mandatory

End Date

Enter a valid End Date of when you would like the Event to be removed from display. This field is mandatory

Date And Time

Enter the Date and Time of the Event. This is an optional field and is free form text.

Cost Rule Code

Enter a valid Leave Cost Rule that applies to the event. This field is mandatory because leave codes have a default cost rule code, and then up to 10 other possible cost rules. This provides a way to know exactly which leave rule to use (if more than one on the leave code).

Account Coord

Enter a valid Account Coordinator that would be used in the routing approval process for this particular event. This field is mandatory. (Account Coordinators can be added to the Routing Authorizer Database)

Absence Cost Centre

Enter an optional valid Absence Cost Center to apply to the leave application for the event.

 GL

Enter an optional valid Absence GL to apply to the leave application for the event.

Replacement Cost Center

Enter an optional valid Replacement Cost Center to apply to the leave application for the event.

 GL

Enter an optional valid Replacement GL to apply to the leave application for the event.

Customer No

Enter a valid optional Customer Number to apply to the leave application for the event.

Approval No

Enter an Approval Number for the event. This is an optional field and is free form text.

PO Number

Enter a valid optional PO Number for the event. Search to view valid PO numbers.

Supp Billing Info

Enter a Supplemental Billing Information for the event. This is an optional field and is free form text.

Multi-Session

Enter 'y' if this is a multi-session event.

Enter 'n' if this is not a multi-session event.

This is an optional field and can be left blank.

Mandatory

Enter 'y' if this is a mandatory event.

Enter 'n' if this is not a mandatory event.

This is an optional field and can be left blank.

Deadline Date

Enter an optional valid deadline date (YYYYMMDD).

Deadline Time

Enter an optional valid deadline time (HH:MM OR HHMM)

Target Group

Enter an optional valid target group code. These can be defined in the Target Group Code database.

Area

Enter an optional valid event area code. These can be defined in the Event Area Code database.

Location Code

Enter an optional valid location code. if a location coded is entered in this field, then fields 26, 27, 29, 30, 31 are automatically populated with the information that is entered in the location code database for the same location.

Location Name

Enter an optional location name for the event. this field can be free form text. if a location code is entered in field 25, then the location name will automatically populate in this field, if one has been entered in the location code database field 02=name.

Address 1

Enter an optional address for this event. this field can be free form text. if a location code is entered in field 25, then the location address will automatically populate in this field, if one has been entered in the location code database in field 08=addr1.

Address 2

Enter an optional location address for the event. this field is free form text.

City

Enter an optional city for the event. this field can be free form text. if a location code is entered in field 25, then the city will automatically populate if one has been entered in the location code database in field 09=addr2.

Province

Enter an optional province for the event. this field can be free form text. if a location code is entered in field 25, then the province will automatically populate if one has been entered in the location code database in field 10=addr3.

Postal Code

Enter an optional postal code for the event. this field can be free form text. if a location code is entered in field 25, then the postal code will automatically populate if one has been entered in the location code database in field 11=postal code.

Country

Enter an optional country for the event. this field is free form text.

Facilitator(S)

Enter optional facilitator(s) for the event. this field is free form text.

SUPERVISOR(S)

Enter optional supervisor(s) for the event. this field is free form text.
