Training - Account Inquiry
The Account Inquiry module allows you to view an instant account balance and inquire on any detailed records (e.g. invoices, credit notes, cash entries) for any customer or miscellaneous account.
How to Inquire On A Customer's Account
Cust. Acct. (Customer Account)
In the Cust. Acct. (Customer Account) field, enter a valid 1-10 character Accounts Receivable customer number. If the customer number is unknown, press <Ctrl+f>.
- Enter 'MISC' to inquire on miscellaneous receipts. You will then be prompted for a customer name.
- Enter 'SEARCH' to inquire by invoice description. You will be prompted to enter the words you wish to search for. At least one of the words you enter must be a minimum of 3 characters and cannot be the following words: "and", "the", "why" o r "are"; press <Enter> to begin the search.
Sort by Date/Invoice
- Enter I or <Enter> to sort in invoice number order.
- Enter D to sort in chronological date order.
NOTE: Only Field 02 will appear if MISC is entered in Field 01.
Date Selection-Main Records/Detail Records/Both/None
- Enter N or <Enter> if no date range is to be selected.
- Enter M to select date range based on main records (original invoices).
- Enter D to select date range based on detail records (e.g. credit notes, adjustments, payments, etc.)
- Enter B to select date range based on both main and detailed records.
- Entering M or D or B will prompt for starting and ending date ranges to be used. Thesedates are to be entered in YYMMDD format.
NOTE: Fields 04-06 will only appear if I is entered in Field 02.
Invoices/Credit Notes/Both/Invoice#/Credit Note#
- Enter I to view invoices.
- Enter C to view credit notes.
- Enter B or <Enter> to view both invoices and credit notes.
- Enter I# to view a specific invoice. The invoice number must be preceded by I.
- Enter C# to view a specific credit note. The credit note number must be preceded by C.
Summary/Detail
- Enter S to view invoices only.
- Enter D or <Enter> to view detailed records (credit notes, adjustments, etc.)
Paid/Unpaid/Both
- Enter P to view paid invoices.
- Enter U to view unpaid invoices.
- Enter B or <Enter> to view both paid and unpaid invoices.
- Press <Enter> if no change to your criteria is necessary.
The system will display the information. If information is not applicable for the criteria specified, the message Selection Not Found will appear.
Screen 2 Account Inquiry
Press <Enter> to exit back to customer account prompt. To exit this module, the customer account number must be clear.
Press the back space key to clear.
- Enter N or <NEXT_SCN> to view next page.
- Enter P or <PREV_SCN> to view previous page.
- Enter P# to view a specific page number.
- Enter alt F or <FIND> to search for a specific detail record or invoice.
To exit the find, move the cursor to EXIT and press <Enter>.
To find a specific invoice, move the cursor to INVOICE and <Enter>. You will be prompted for the invoice number.
The system will go to the page the invoice is on and bold the invoice number. If the invoice is not found, the messageSearch Has Failed will appear.
To find a specific credit note, move the cursor to Credit Note and press<Enter>, then enter the credit note number.
To find a specific receipt, move the cursor to Receipt and press <Enter>. The system will prompt you for receipt number, receipt date and location number.
This option of inquiry by receipt number is also available using option Receipt Inquiry.
If you are unsure of the receipt number, you may use the option RECEIPTS/INVOICE to find all receipt numbers related to all invoices. The system will prompt for an invoice number and then proceed to display all receipts related to that invoice.
The message No Receipts Found for This Invoice will appear if receipts are not found.
Cash Receipt Inquiry
The Cash Receipt Inquiry function provides the ability to inquire on all details that relate to a specific cash receipt.
LOC-RECEIPT #:
Enter the location code and the receipt number separated by a -. If the location code is unknown, press <Ctrl+f>.
If the receipt number entered exists, the system will display the following:
- The customer number (This will be MISC for miscellaneous receipts.)
- Customer name and address
- Batch the receipt was entered
- Receipt date
- Total amount of the receipt
- Invoices paid on that receipt
- Location description
- A Cancelled message will appear in the right-hand side of the screen if this receipt has been cancelled.
Press <Enter> to be prompted for another receipt number. When finished, clear the LOCRECEIPT# field and press <Enter> to exit Cash Receipt Inquiry.
